About the role
We are currently looking for an Executive Assistant for a university institution in Gothenburg! In this role, you will serve as a qualified administrative support in the operations. You play a key role in creating structure and good planning in the overall work. The role involves many points of contact, significant personal responsibility, and close collaboration with the operations. Through your work, you contribute to structure, planning, and follow-up in administrative processes and support the operations in their daily work.
Typical responsibilities:
- Act as a contact point for both internal and external contacts
- Prioritize incoming matters and structure the flow of questions and contacts to the Dean
- Plan and coordinate the Dean's calendar, meetings, and travel
- Ensure well-functioning meeting administration
- Call meetings, prepare decision materials, and be responsible for minute-taking and ensuring meeting documents are handled correctly and on time
- Coordinate and administer management meetings and other forums related to the faculty leadership
- Plan and execute various events, such as promotions, ceremonies, conferences, and exhibitions
Assignment period and scope
The position of Executive Assistant is a full-time consultancy assignment starting on June 29th through July 3rd for an introductory period, to then resume on August 10th and run through October 2nd, with the possibility of extension.
Requirements for the position:
- High school diploma or equivalent education
- Very good knowledge of MS Office or equivalent
- At least three (3) years of work experience as an administrator/assistant
- Ability to communicate fluently in Swedish and English, both orally and in writing.

Merits for the position:
- Has experience in qualified administrative work or management support
- Has experience in meeting administration, document handling, and minute-taking
- Is accustomed to coordinating and organizing tasks in an environment with many points of contact
- Has high IT maturity and good familiarity with digital meetings, planning tools, and document handling
