Do you want to help create a professional and welcoming first impression in a brand-new office building? We are now looking for two receptionists for our Office Services unit for fixed-term positions of approximately four months.
Office Services is responsible for creating a well-functioning workplace for our employees. Within the unit, receptionists, caretakers, and cleaners work together to provide service to several of our operations. We help each other, work without hierarchy, and prioritize the team over the individual.
The reception will be located in a newly opened building where much is still under construction. This means a high pace, varied tasks, and a great need for flexibility and problem-solving skills. Our task is to provide professional hospitality, answer questions, guide visitors and employees, and contribute to making everyone feel welcome.
Job Description
As a receptionist, you are a central part of our service organization. You work with the daily reception, conference services, and administrative tasks related to office services.
Your responsibilities include, but are not limited to:
- Staff the internal reception and provide service to employees and visitors.
- Guide employees and visitors in the building.
- Handle key distribution, access cards, photography, and bus passes.
- Answer questions and provide support in various service matters.
- Be responsible for meeting service and supervision of conference rooms.
- Handle conference services, including ordering and serving coffee breaks.
- Conduct purchases in Proceedo.
- Perform administrative tasks related to the operation.
- Collaborate closely with other functions within Office Services.
Qualifications
We are looking for you who have:
- Upper secondary education.
- Several years of experience in administrative tasks.
- Several years of experience working in a reception, service desk, or other service operations.
- Good computer skills and experience working in Microsoft Word.
The following are meritorious:
- Experience with purchasing in Proceedo.
- Experience in conference services or conference operations.
- Experience in managing customer or visitor contacts.
To thrive in this role, you need to be service-oriented and have a genuine interest in helping others. You have a professional demeanor and build trust in your interactions with people.
You work in a structured and meticulous manner while adapting easily when conditions change. Since the reception will be located in a new building, you need to be solution-oriented and thrive in an environment where not all routines are fully established yet. You see what needs to be done, take initiative, and contribute to good collaboration within the work group.

Since the recruitment takes place during the summer holiday period, feedback and the opportunity to answer questions may be limited during parts of the summer. We plan to start interviews from week 30, and feedback will be provided via email.
