Workplace Description

This position is currently located at the Department of Culture and Learning. The Department of Culture and Learning comprises the subjects of aesthetics, philosophy, gender studies, art history, literary studies, media and communication studies, practical knowledge, rhetoric, and Swedish. The Centre for Practical Knowledge, the Development Unit for Higher Education Pedagogy, and the Study Workshop also belong to the department. Within the department, we currently have around 200 employees.

You will join the department's administrative group, where thirteen people work today. The group consists of seven education administrators, two HR generalists, one administrator, two case handlers, and an administrative manager.

The Role

As an education administrator, you will work with administration related to courses and programs within one or more of the subjects at the department. The work is performed largely independently and partly in close collaboration with others, such as education administrators and teachers at the department.

Main Responsibilities

The work is varied and consists mainly of tasks based on the university's annual cycle, including:

  • Communication with students, primarily via email, phone, and the Student Web portal
  • Ongoing course work such as administration of the Student Web portal, work in the study documentation system Ladok, and examination management
  • Individual student cases such as certain admission and eligibility questions, as well as applications for credit transfer and dispensation
  • Room booking and scheduling of teaching in TimeEdit
  • Administration of course syllabi and reading lists
  • Secretarial duties for various decision-making and preparatory bodies
  • Archiving
  • Other joint administrative tasks for the department

You keep yourself updated on and ensure the implementation of regulations and guidelines in educational administration, and you initiate and quality-assure common routines.

Qualifications

To thrive in this role, it is important that you are accustomed to working systematically based on established processes and within given timeframes. You take personal responsibility and drive your tasks forward. At the same time, you are open to change and see digitalization as a clear path to increased efficiency. You appreciate a combination of independent work and collaboration, and have an interest in working in an academic environment.

Requirements for Employment

  • 3-year upper secondary school certificate or equivalent
  • Good computer skills – proficient user of the Office package (primarily Outlook, Word, and Excel)
  • Digital maturity – understanding and utilizing digital opportunities to create value in work
  • At least 2 years of experience in administrative work as a primary task within the last three years
  • System proficiency – very experienced in handling administration in several different systems simultaneously
  • Accustomed to working with many different types of tasks in parallel
  • Very good ability to express yourself verbally and in writing in Swedish
  • Good ability to express yourself verbally and in writing in English

As a person, you have the ability to handle issues at a detailed level while simultaneously relating to the bigger picture. You have very good ability to collaborate with others and communicate in a clear and attentive manner. You are energetic and contribute positive energy and engagement to an inclusive atmosphere where others feel comfortable and appreciated. You are service-oriented and keen to be part of the solution. You can handle time pressure and, during temporary work peaks, you have the ability to prioritize.

The following may be meritorious

  • Experience in administrative work within the public education sector, at least one year
  • Experience in developing administrative routines

The applicant must otherwise possess the personal skills needed to perform the employment well. Great emphasis is placed on personal qualities.

Employment

The employment is permanent with a scope of 100%.

Start date: September 15th or as agreed.

Possibility to agree on partial remote work may exist.
