About the department/group
The Business Support Unit's task is to support the university's education and research. KTH's Business Support is in an exciting phase where we are working together to develop our ways of working. As an employee within Business Support, you contribute to KTH's mission to conduct research, educate, and create societal benefit, while also having the opportunity for professional development.
Responsibilities
The role of HR Administrator is located within one of our school teams, working in close collaboration with the core operations. Our school teams consist of various HR roles that collaborate closely to provide the best possible support to the operations, where our HR Administrators play a key role. As an HR Administrator, you are expected to drive your work forward independently while being an active part of an HR team that continuously works on developing routines and processes.
You will work in a comprehensive administrative role containing a broad variety of tasks within the HR field. Your main areas of responsibility will include personnel administration and acting as administrative support to the core operations and the HR team. You will prepare background material for internal decisions and participate in various HR processes. The work includes administration regarding employment and scholarship matters, from drafting contracts and follow-up to the conclusion of assignments. You will also handle SINK applications, fees for hourly employees, system support, and diary registration. The work also includes other common administrative tasks such as issuing certificates, statistics, reports, and documentation. Additionally, you will be part of the induction process for new employees, which includes support regarding migration issues for our incoming international colleagues.
Qualifications
Requirements
- Education from a university or college related to the HR field and labor law, or equivalent.
- Good knowledge of both Swedish and English, in speech and writing, as this is needed in daily work.
- Experience in personnel administration, preferably within the university sector.
Personal qualities
To function and thrive in this role, you need to have good teamwork skills, be service-oriented, and simultaneously be able to work independently and take initiative. It is also an advantage if you are accustomed to working against deadlines, have experience dealing with many contacts, and have the ability to work in a structured manner.
Merits
- Current and relevant experience in an administrative role within HR.
- Experience working within a government agency.
- Experience and interest in working with system support.
- Good computer and system proficiency, primarily in Office programs.
- Previous experience with the systems W3D3, Varbi, Medvind, and Visma (HR8) is a merit.
