The municipality's contact center belongs to the HR department, which consists of a team with three HR staff members, two receptionists, three service department employees, and one HR manager.
The contact center is the municipality's face to the outside world and serves as a central point for residents, businesses, and visitors. Our operations are characterized by the municipality's core values: sustainable development, safety, and participation.
We are now looking for a receptionist/switchboard operator who wants to contribute to quality and support in the municipality's contact center. We offer a varied and developmental role where you will work closely with both citizens and colleagues, where your contribution makes a difference every day.
Job Description
As a receptionist and switchboard operator, you work together with an experienced colleague to ensure a professional and service-oriented approach. You are responsible for receiving and handling incoming calls to the municipality's switchboard, as well as welcoming and guiding visitors in the municipal building. You sit in the reception at Salem Municipal Building and have fixed working hours: Mondays 08:00-18:30, Tuesday to Thursday 08:00-16:30, and Fridays 08:00-14:30.
The role involves providing correct information, guidance, and support in matters concerning the municipality's services, customer service, and public functions. The tasks include both qualified support and administrative duties, which require flexibility and the ability to switch between different work tasks.
Your attitude in meetings with people is crucial. You need to be able to greet residents who are in difficult or emotionally challenging situations with empathy and professionalism. The work can be intensive at times, with many incoming calls while several visitors are waiting for help. Your ability to remain calm, prioritize, and handle several parallel tasks is therefore a central competency in the role.
Tasks
Receiving cases, applications, and answering questions about all of the municipality's operations. It is common to receive questions regarding financial assistance, elderly care, building permits, childcare, etc.
- Receiving visitors and packages, handling bookings, providing applications and forms, guiding to the correct authority, and assisting staff.
- Answering the contact center's email boxes, handling technical questions regarding phones and subscriptions, administering access cards and keys, and ordering phones and accessories.
- Booking weddings and civil funerals, issuing confidential documents, certifying life certificates, and administering the municipal building's alarms and access systems.
- Cooperating with the service unit and, for example, in their absence, driving mail to operations, receiving mail, preparing premises, etc.
Qualifications
To succeed in the role, you need to have very good communication skills, both verbal and written, as we need to explain complex information in a simple and understandable way. We also see that you have good digital competence and are confident in working with administrative systems. You have experience in service work and are accustomed to meeting people in difficult situations, as well as good English skills to provide support to citizens who do not have Swedish as their native language.
It is an advantage if you have an understanding of how confidentiality legislation is applied within public administration. Knowledge of municipal operations and previous work in reception or phone staffing is valuable. You have at least a completed upper secondary education; if you have a post-secondary education that adds value to the role, we see this as positive. Since we cooperate between service and the contact center, having a driver's license is an advantage.

Furthermore, you are solution-oriented and have the ability to provide good service.
