The Unit for Secretariat and Authority Operations within the Child and Education Administration is looking for a Board Secretary who will also serve as a Registrar. The unit is part of the Department for Quality, Health and Learning. The Role
As Board Secretary for the Child and School Board as well as the Education Board, you are responsible for ensuring that the democratic process is handled correctly and efficiently by:
- Planning, coordinating, and quality-assuring the board process – from preparation to decision and follow-up.
- Preparing meetings, writing invitations, reviewing official statements, and ensuring that documents are correct and legally secure.
- Recording minutes during meetings, finalizing, and dispatching minutes.
- Providing support and service to politicians and the administration on matters concerning board work, as well as issues regarding the Local Government Act, Administrative Procedure Act, the Principle of Public Access, GDPR, etc.
- Administering remuneration to elected officials.
- Developing routines and collaborating with other parts of the organization for more efficient case handling, and contributing to increased digitalization of board administration.
As Registrar, you are responsible for ensuring that the boards' public documents are handled correctly and in a legally secure manner by:
- Registering incoming and created documents, as well as handling requests for public documents.
- Ensuring that information management complies with current legislation, and collaborating with other functions to create and maintain good routines for secure and accessible information.
- Guiding and training employees in the case and document management system, Platina.

No two days are alike, which is why you must be structured, self-reliant, service-oriented, and solution-focused. You have good judgment, high integrity, and excellent teamwork skills.
What you need to bring with you
- Completed upper secondary education; higher education in information/archival science, public administration, political science, law, or equivalent is meritorious.
- At least one year of experience working as a Board Secretary/Registrar or equivalent.
- Good knowledge of the laws and regulations governing board work and document handling within public administration, such as the Local Government Act, Administrative Procedure Act, Public Access and Secrecy Act, GDPR, etc.
- Knowledge of or experience with case and document management systems, preferably experience with the Platina system.
- Good command of Swedish, both spoken and written, and experience in writing formal documents.
- Good computer skills and experience using IT tools, including Office 365, in daily work.
- A B-class driver's license is meritorious.

Employment type: Fixed-term contract (vacancy), one year with possibility of extension
Scope: Full-time

For this role, the starting salary is normally between 34,000 - 41,000 SEK depending on experience and competence.
