Main Responsibilities

The position involves providing administrative support to the entire department, with a particular focus on working closely with the managers. The tasks range from more qualified administrative duties to recurring routine assignments. The role has a broad scope, involving administrative matters related to law, business, and personnel administration. You will function as the "hub" of the department and have the opportunity to both develop and manage routines within your area. To succeed in this role, you must easily adapt to the operations, understand the various needs of our large organization, and be interested in finding innovative solutions and driving improvement work. The tasks place high demands on teamwork, independence, a systematic approach, service orientation, and the ability to work under pressure. The position is located at the Headquarters' Division for Business and Supply Management in central Stockholm.

Your main responsibilities include:

  • Supporting the leadership and staff functions, and being responsible for the administrative function within the division (implementing, coordinating, and developing).
  • Case management.
  • Handling classified documents.
  • Handling other administrative security matters.
  • Supporting the leadership in personnel administrative tasks.
  • Managing and coordinating the division's system administration, purchases, and orders.
  • Handling premises issues and division-wide activities.
  • Other routine-based, recurring administrative tasks.
  • Managing and developing individual tasks and driving internal projects.

REQUIREMENTS

Qualifications

  • Upper secondary education with an administrative and/or economic focus, or equivalent education deemed relevant by the employer.
  • Good ability to express yourself in speech and writing in Swedish.
  • Good computer skills and very good knowledge of MS Excel, Word, and PowerPoint.

MERITORIOUS QUALIFICATIONS

  • Completed current GMU (General Military Training) or basic training with conscription in the Swedish Armed Forces.
  • Knowledge of and/or experience with the Swedish Armed Forces or the defense sector.
  • Work experience from the public sector.
  • Several years of experience in qualified administrative work, e.g., at an authority, in public service, a law firm, or a company.
  • Knowledge of SAP.

Other Information

This is a fixed-term employment until 2027-06-30.

Employment extent: 100%.

Work location: Stockholm.

Start date: According to agreement.

The position is a civilian employment.

Employment includes the obligation to be assigned to wartime duties, participate in training, exercises, and missions, both domestically and internationally.

Information about the recruiting unit:
The Chief of Defence and the Director General are located at the Headquarters. The Headquarters has approximately 1,000 employees – both professional officers and civilian experts. As of 2023-01-01, the Headquarters consists of the Defence Staff, the Operations Command, the Military Intelligence and Security Service, as well as the Headquarters' Staff Division and independent supervision units.

Employment with us involves placement in a security class. Swedish citizenship is usually required. Security clearance with register check will be conducted prior to employment according to Chapter 3 of the Security Protection Act. Employment includes the obligation to be assigned to wartime duties and to serve abroad. The meaning of this varies depending on the type of position.
