We are looking for a Receptionist/Medical Secretary for Psychiatric Care Northwest

Are you at the beginning of your career as a medical secretary and thrive on providing professional service in a varied work environment? Here, you will have a central and significant role where you work closely with both patients and colleagues, with a workday that includes patient contact, medical record writing, and administrative tasks.

We are centrally located at Sankt Eriksgatan 125 near Odenplan and belong to Psychiatric Care Northwest, which is a university clinic within the Stockholm County Council (SLSO). The clinic provides psychiatric care at a specialist level in outpatient and inpatient care for all individuals aged 18 and older registered in Stockholm County. The clinic has approximately 500 employees distributed across three general psychiatric outpatient clinics, five sub-specialized clinics, and five inpatient wards.

Job Responsibilities

In the phone and at our reception, you will be our face to patients and partner care providers. This means you need to be able to maintain a calm and pleasant attitude even in stressful situations.

The role places you at the center of the information flow for the clinics, with contact to many different employees. The tasks are therefore varied, responsible, and developmental.

The position includes providing administrative service to our therapists and doctors, staffing the reception with cash handling such as collecting payments and registering patient visits, managing phone contacts including simpler medical record administration, handling incoming and outgoing mail, and performing other common administrative tasks and internal services.

Qualifications

You have a degree as a medical secretary. Previous experience from reception and cash handling in healthcare is required, as well as good experience with TakeCare and simpler medical record documentation. Experience from psychiatric outpatient care is meritorious, as is experience with large customer invoicing, LMA cards, and care contact registration (including KVÅ/DRG) and scanning. Other experiences seen as meritorious include knowledge of the patient travel system, Tele-Q, 1177/AlwaysOpen, and experience with phone contact with both patients and other parties.

As a person, you are flexible, unpretentious, and service-oriented. You have very good collaboration skills while also enjoying working independently and taking responsibility for your tasks. You feel confident in patient contacts, both at the reception and via phone, and actively contribute to a positive and professional work environment.

Employment Type

Permanent employment where a probationary period of up to six months may be applied. Working hours are office hours Monday to Friday with a working time measure of 39.30 hours per week.

The position will be filled provided it does not need to be taken for internal relocation, according to current regulations.

For patient-close work within Stockholm County Council:

  • A register check is applied before the decision on employment according to SLSO's overarching guidelines for register checks upon employment.
  • Employees who will have patient contact must undergo a new employment examination, according to current directives, which takes place through occupational health services before employment.
  • Requires, in addition to Swedish professional licensure, good knowledge of the Swedish language corresponding to level C1 according to the Common European Framework of Reference for Languages (CEFR). The same requirement is guiding for non-licensed staff with patient contact.
