Do you want to contribute to one of Stockholm's largest community investments? We are now looking for an engaged and solution-oriented Office Manager/Project Administrator for an exciting project focused on the development of the subway infrastructure. The scope of the assignment is estimated to be 50-100% and will be determined when the contract is signed with the client.
About the project
In Högdalen, a comprehensive expansion of the depot is underway to meet the needs as the subway grows. New storage halls, cleaning halls, and service areas are being built both above and below ground. Currently, a wonderful team of about 40 employees is working on the project, and now we want to strengthen the team with you!
The role
In your role, you will be an important key person supporting the project manager and project leaders with administrative tasks. You will be responsible for several central areas such as:
Quality coordination, crisis management, and security protection
Monthly reporting and support in quarterly reporting
Administrative handling of consultant procurements
Record keeping and minutes
Office management (premises, equipment, ID06, alarms, etc.)
Planning and coordination of study visits
Support in planning for project closure
You will be the spider in the web that holds together both administration and office flows, while also having the opportunity to grow in the role and contribute to the project's success.
We are looking for someone who has:
Approved secondary education and relevant courses/training in economics/accounting
At least 1 year of experience as a project administrator where you have been responsible for administration, coordination, and quality assurance.
Experience working as an office manager for at least 1 year
Previous experience working in the public sector or infrastructure/public transport.
Solid experience with daily work in the Office suite
Fluent language skills in Swedish both spoken and written
Driver's license (B)
Meritorious
Experience with web forums (Avima)
Experience from collaborative projects
Personal qualities

Scope and start
Start: September 18, 2025 (or by agreement)
Scope: 50–100%, approx. 20–40 hours/week
The assignment runs until December 31, 2027, with the possibility of extension
Workplace: Högdalen, Stockholm
