Clinical Studies Sweden - Forum South is a unique regional support function tasked with supporting and promoting clinical research in the Southern Healthcare Region. We offer support and services to researchers, research staff, and life science companies conducting clinical studies within healthcare. In this way, we work to ensure that Sweden remains an attractive country for conducting clinical studies, which contribute to the development of new and innovative products and treatment methods for the benefit of patients and society. Forum South also serves as the regional node for the Southern Healthcare Region within the framework of the national collaboration Clinical Studies Sweden, supported by the Swedish Research Council. Our operations comprise approximately forty employees and are located at Skåne University Hospital in Lund.

RESPONSIBILITIES

As an Administrative Coordinator, you are the hub of the Grants Office's daily operations. You ensure that application processes run smoothly, from the initial contact by a research group to the submission and registration of the application. In this role, you are responsible for planning and conducting outward-facing educational initiatives. As the person responsible for our case management system, call calendar, and parts of internal communication, you often serve as the researchers' first point of contact into the Grants Office. You play a crucial role in ensuring nothing falls through the cracks in an environment with many parallel cases.

Your responsibilities include:

  • Coordinating the training courses for which the Grants Office is responsible
  • Handling incoming inquiries and distributing cases within the Grants Office
  • Maintaining and updating the Grants Office case management system and call calendar
  • Administering application processes: managing portals (PRISMA, EU Funding & Tenders Portal), collecting documentation, and ensuring formal compliance
  • Registering applications and agreements in accordance with Region Skåne's procedures
  • Coordinating internal and external meetings, workshops, and training sessions
  • Assisting with communication and information dissemination regarding calls for proposals and Grants Office services
  • Compiling data for key performance indicators for monitoring and reporting
  • Providing practical support to research groups in application portals and formal compliance matters
  • Contributing to documenting processes and templates for recurring calls

QUALIFICATIONS

We are looking for you who have:

  • A university/college degree in social sciences, law, economics, life sciences such as medicine, health sciences, pharmaceutical science, or natural sciences, or another equivalent education that we consider relevant for the position
  • At least two years of documented experience in administrative coordinating work, preferably in the public sector, university, or region
  • Experience in coordinating external events, training, or workshops
  • Good ability to handle many parallel cases with high accuracy and meet deadlines
  • Experience with case management systems, registration systems, or similar administrative systems
  • Very good computer skills in MS Office or similar
  • Good ability to communicate in Swedish and English.

It is meritorious if you have:

  • Experience in administering research applications within academia, university hospitals, or public R&D activities
  • Knowledge of PRISMA or EU Funding & Tenders Portal
  • Basic understanding of clinical research and its administrative requirements.

With a natural sense for structure, you understand the importance of doing the right thing at the right time.

You communicate clearly and professionally with research groups, are attuned to their needs, and can explain administrative requirements in an accessible manner. The role also requires flexibility and a willingness to support colleagues in the team where needed. You enjoy contributing to the bigger picture and are comfortable not always having all the answers yourself.
