We are now seeking a driven, structured, and collaborative committee secretary for the education administration in the City of Stockholm.

The position belongs to the planning unit, which is part of the department for economics and governance with just over 20 employees and a unit manager. Our unit is also responsible for operational planning and follow-up, investigations, procurements, and has a coordinating role in safety, school meals, and environmental work.

Your role

As a committee secretary, you play a key role in the planning and execution of the education committee's monthly meetings. You are responsible for coordinating the committee's matters and administration, which involves planning meetings, writing minutes, and managing the process of finalizing service matters for the committee. The assignment includes everything from legal questions to formalities before, during, and after the meetings. The work is structured according to timelines and governed by the committee process, which means you often work towards some form of deadline. You act as an advisor on matters related to case management. The work also includes writing certain decision materials for the committee. The work is conducted in close dialogue with the administration's chief of staff and a central preparation group.

Furthermore, you are also the secretary in the council for disability issues and in the union collaboration group. You are also responsible (subject specialist) for the committee process in the city's case management system eDok (Platina).

Your qualifications and experience

We are looking for someone who has:

  • a university degree with a relevant focus, for example in political science, law, or similar
  • relevant work experience as a committee secretary or a similar role in a politically governed organization
  • knowledge of relevant legislation (the Local Government Act, the Administrative Procedure Act, OSL)
  • good experience and interest in working with digital case management systems
  • excellent ability to express yourself well in speech and writing in Swedish.

It is advantageous if you have experience in:

  • working with the document management system Platina
  • handling issues concerning public access and confidentiality
  • conducting training and presentations.

To thrive and succeed in the role, you need to be self-driven and able to take significant responsibility for both ongoing and long-term work. You are structured, meticulous, and can prioritize, meet deadlines, and plan and organize effectively. In the role, you have many points of contact, which makes it important that you are service-oriented and enjoy collaborating and communicating both internally and externally. Finally, you are calm, stable, and comfortable in a work pace that can sometimes be high. In the selection process, we will place great emphasis on your personal competencies.
