Receptionist, service coordinator, front desk employee – a beloved child has many titles. For me, it is not the exact designation that matters most, but what you have done, how you have worked, and what experience you carry with you.

We are now looking for a super colleague who wants to become a key person in our service team at the Property Owners' House in Stockholm. Here, both Fastighetsägarna Service Stockholm AB and Fastighetsägarna Stockholm are located, and in this role, you will be a welcoming face for both internal and external visitors.

Together with your closest colleagues Madelene and Stella, you play an important role in creating a smooth everyday life and contributing to ensuring that our employees and visitors have the very best experience with us. We are looking for someone who enjoys meeting people, likes to take responsibility, and is passionate about making things run smoothly, both big and small.

About the role 

As a receptionist/service coordinator, you will work daily with service for our visitors. Together with your colleagues, you create the conditions for a professional visitor experience and a modern office. In the service center, you will receive visitors (customers/tenants, contractors, and employees) daily, where some visit us for the first time while others are returning. Regardless, each visit is unique, and we want to leave the visitor impressed with our service. You have many contact points, both internally and externally, and your focus is on physical meetings, email, chat, and phone.

Daily, you will also be responsible for key management, where you will check out keys, keep track of permissions, and ensure that management is done safely. Other examples of tasks include ordering catering, courier services, and handling deliveries and mail. Furthermore, you will also be responsible for the practical aspects of onboarding new employees, including preparing welcome packages and technology. Additionally, you have a sense of order and organization, which means you keep an eye on our common office areas. This means ensuring that the office looks good, from making sure workstations and equipment function properly to following up on maintenance requests. Therefore, the role includes heavy lifting, such as moving office equipment as well as handling heavier mail/courier items.

I am also looking for someone who is skilled in written communication. In this role, you will be responsible for keeping our intranet alive and up to date, both by publishing news and updating the company's calendar with upcoming events. You will send out invitations, coordinate and book everything from internal breakfast meetings where colleagues give presentations, to CPR training sessions with external providers. By communicating about office activities and fun happenings, you make a difference in the employee experience with us. The overall responsibility for the intranet also includes updating, adjusting, fixing, and ensuring that everything works as it should. We work in Microsoft 365, and our intranet is built in SharePoint.

We are looking for someone who loves service! We believe that you are driven by the everyday questions, thoughts, and problems that reach the reception while having the ability to leave every visitor impressed with your professional service. We also believe that you love to be one step ahead, are meticulous, take initiative, and really want to make a difference in the visitor and employee experience with us.

We are looking for someone who:

  • Has completed high school education and at least two years of experience as a receptionist, from retail or hotel

  • Has good knowledge of Microsoft 365, such as SharePoint

  • Speaks and writes Swedish and English fluently
