The Headquarters Document Management Department (HKV DokhA) is now seeking a meticulous and responsible registrar for a temporary position with good chances for extension or transition to a permanent position, who wants to play a central role in the document management of the Swedish Armed Forces. The department's task is to support the Armed Forces Headquarters in its governmental functions with continuous document and case management, aiming to report, handle, and make public documents accessible today, tomorrow, and over time. The document management of the Armed Forces encompasses all handling of public documents regardless of format and confidentiality level throughout the entire readiness spectrum peace-crisis-war, both nationally and internationally.
HKV DokhA consists of a department divided into 6 sections; Expedition L24, Expedition Three Weapons, Expedition V117, International Expedition, Archive, and Transport Section.
About the Position
As a registrar at the Armed Forces Headquarters and the international expedition, you will play a central role in our document management. You will handle incoming and outgoing documents, ensure that they are processed correctly, and ensure that the right information is in the right place at the right time. You will help ensure that our processes comply with applicable laws and regulations and that sensitive information is handled correctly. You will also provide support and service to case officers in document management issues and staff our internal customer service desk.
In addition, you will handle inquiries from the public and work with other tasks that arise in the department.
Main Responsibilities
- Registration and filing of incoming and outgoing documents
- Staffing the customer service desk
- Ensuring that documents are handled in accordance with the Public Access and Secrecy Act
- Working with some archiving
- Participating in the development of routines and processes for document management
Qualifications
- Experience working as a registrar or in administration, or possess other experience deemed equivalent by the employer
- Very good computer skills
- Excellent ability to express yourself verbally and in writing in Swedish and English
- Able to work in a structured and meticulous manner, sometimes under stress
- Driver's license for manual transmission
Meritorious
- Experience with similar tasks, especially within the Armed Forces.

Other Information
Temporary position starting no earlier than 2026-06-01, until 2027-09-30. Good chances for extension or transition to a permanent position.
Work location: Stockholm, Lidingövägen 24
Travel in the service occurs, mainly within Sweden.
