Job Description
This position is placed in a newly established operation within the preschool department. The operation is tasked with managing the municipal preschool's substitute pool. Your workplace will be in the City Hall in central Uppsala, where you will work closely with your manager and other functions related to the assignment. Uppsala's municipal preschools encompass about 100 preschools, distributed across four areas. In each area, there are school administrators, and you will collaborate with them regularly and participate in their network meetings.
In this role, you will build, develop, and maintain structures for the work in the substitute pool as well as the work with the area's substitutes. Initially, you will be involved in the recruitment of substitutes.
The assignment includes daily work with staffing, where you provide service and support to managers and operations in staffing-related issues. It also involves quality assurance, follow-up, and development of working methods related to staffing in both the short and long term.
The work also includes responsibility for establishing the use of the staffing system Time Care in relation to preschool operations. You will be responsible for the administration of schedules, including ongoing updates and handling of deviations in the system.
The position also includes other administrative tasks, such as developing and updating routines and guidelines related to annual processes and evaluations. Furthermore, it includes following up staffing statistics and contributing to analysis and improvement work.
The work takes place in several different systems, including Time Care, Heroma, Hypergene, ASTA, Iris, Unit4, Proceedo, Office Suite, and Teams.
Qualifications
We are looking for someone with post-secondary education or work experience that the employer deems relevant for the position. To succeed in this role, you need to have experience in administrative work, project-based work, and independently managing larger projects. The job requires you to have good knowledge of Swedish, both spoken and written. You also need to have good system skills and be quick to learn new systems.
We prefer candidates with education in administration or project management. It is an advantage if you have experience in staffing work, working in TimeCare, and Heroma. Familiarity with preschool operations is also considered an asset.
As a person, you are development-oriented and used to working independently and taking your own initiatives. You quickly grasp new ideas, methods, and working methods and see the opportunities that come with them. You are structured and work efficiently by planning and organizing your tasks responsibly. You have the ability to see the big picture and place individual issues in a larger context. Additionally, you are flexible and adapt easily when circumstances change. The role suits you if you collaborate well with others and easily establish new contacts.
