The Municipal Executive Office also houses the organizations for business and destination as well as shared services. The Municipal Executive Office is the link between our elected representatives' decisions and all municipal operations. Our mission includes coordinating and driving overarching issues within democracy, community and business development, as well as ecological and social sustainability.

Since 2015, Uppsala Municipality has had a central registration system, organized within the secretariat department. The department's mission is to provide support to the entire municipal group – from administrations and municipal companies to elected representatives. Within the registration unit, we have just over 30 employees working at the heart of Uppsala Municipality's information flow.

We are now looking for a new colleague to work as a registrar for the Municipal Executive Board. With us, you will receive a varied and developing assignment, where you will work both independently and together with colleagues and other operations. We place great emphasis on collaboration, support, and knowledge exchange – and we are constantly striving to improve our working methods in line with digitization and changing needs. Our goal is to ensure the quality and accessibility of information in a legally secure manner, thereby meeting the needs of our operations and the public's right to transparency.

Job Description

In the registration unit, your main task is to manage and evaluate information and ensure the quality of metadata in the municipal shared case management system. You are part of an important support function, and as a natural part of the work, you will have contact with the municipality's residents, usually via email or phone.

Your tasks include:

  • Responsibility for incoming mail and email via functional mailboxes
  • Case registration and management
  • Handle requests for public documents and make confidentiality assessments
  • Provide support to operations on issues related to information management
  • Conduct training and provide advice and guidance to case handlers and managers
  • Actively contribute to digitization and development work.

Qualifications

We are looking for someone with education in archival and information science, registrar training, or other work experience that the employer deems relevant for the position. The work requires that you can communicate fluently in Swedish, both spoken and written. You need to have good knowledge of Microsoft 365. It is an advantage if you have experience working with registration in public operations as well as experience handling requests for public documents and working with laws such as GDPR, the Archives Act, and the Public Access to Information and Secrecy Act. Experience with Public 360 is also an advantage.

You take initiative and start activities to achieve results. You also have good collaboration skills, are outgoing, and socially active in professional contexts. You are service-oriented, professional, and accommodating in your interactions. You take responsibility and drive your work forward to achieve your goals. Last but not least, you are good at structuring, planning, and prioritizing your work.
