Administrator at the Swedish Food Agency

We are looking for an administrator for the departments of laboratory investigation and analysis and risk and benefit assessment at the Swedish Food Agency. Department of Laboratory Investigation and Analysis and Department of Risk and Benefit Assessment

You will work as one of the two administrators in the departments who together support the eight units of the departments with administration and financial administration. Within the departments, there are the Swedish Food Agency's five chemical and biological laboratory units as well as three units that work on developing risk and benefit assessments and other knowledge bases for food, including drinking water. The two administrators in the departments are organizationally placed under one of the departments' units.

Job Responsibilities

As an administrator, you have a central role and have many contacts both internally and externally. The work is varied, but your main tasks are:

  • Financial administration including handling customer and supplier invoices, coding, etc.
  • Administration of analysis reports
  • Handling of documents, diaries, and archiving
  • Mail and communication of documents
  • Ongoing operational administrative work within finance and administration including project administration
  • Support and handling of documents related to contracts and agreements
  • Service and administrative support to managers and project leaders within operations, finance, and projects
  • Support in booking venues and conferences

Your Qualifications

We are looking for someone with several years of current experience in qualified administrative work. You also have previous experience in administrative or financial administrative tasks within government, and it is advantageous if you have worked with similar tasks within public administration.

After your high school education with a focus on economics or administration, we would like you to have pursued further relevant education in economics or administration.

Your computer skills are very good, and you have excellent knowledge of the Office suite. Furthermore, you should have experience with financial and invoicing systems including e-commerce, preferably Agresso (Unit 4 ERP) and Proceedo. It is also meritorious if you have experience with invoice handling in a laboratory information management system, e.g., LabVantage LIMS.

You should have good knowledge of diary management and experience working in Public 360 or another diary system.

The role requires a high level of service and a professional approach. You are helpful, engaged in your work, and have an easy time making contact and collaborating with colleagues. You work in a structured manner, plan your tasks well, and are goal-oriented in accordance with given guidelines and routines. At the same time, you have good initiative, deliver high quality, and adapt well to changing circumstances while managing both planned and unplanned tasks positively.

You have good communication skills with excellent knowledge of Swedish and good knowledge of English, both spoken and written.

You enjoy working in a team, willingly share your expertise and lessons learned, and actively contribute to strengthening the collective capability in the organization.
