About the workplace, the BAS unit:

The BAS unit is a new unit within the Social Administration of Ödeshög Municipality, standing for Staffing, Administration, and Scheduling. The unit consists of four coordinators in staffing, administration, and scheduling, one coordinator in administration and operational HR, and one coordinator in welfare technology and planning.

As a coordinator, you are a key person in the municipality's work to create secure and sustainable staffing within the Social Administration. You will work on planning, following up, and optimizing staffing and schedules using digital systems and analyses. You ensure that resources are used efficiently, that planning adheres to laws and agreements, and that the operations receive the right support at the right time. The role involves both operational work with scheduling and filling in for absences, as well as a more strategic responsibility for developing routines, digital tools, and working methods.

The guiding principles for the new BAS unit are effective resource management, good service, and flexibility. Working hours will be Monday to Sunday with rotating weekend shifts every 4 weeks, where weekend shifts are approximately 4 hours long.

JOB RESPONSIBILITIES

In the role of coordinator within scheduling, administration, and staffing, your primary tasks will include managing the daily handling of substitutes, detailed planning within home care, and working with scheduling and administration.

Daily detailed planning means that you plan user interventions against employees' work schedules so that all interventions can be met in daily operations. Vacancy management means that you handle sick reports and fill vacancies where needed, as well as book our pool operations in the field as necessary.

Scheduling involves creating sick schedules, maintaining existing work schedules, and actively working to update the conditions for the schedule in terms of competencies and staffing needs in our scheduling and staffing system. We currently use Visma Medvind for both substitute booking and scheduling. In addition, other administrative tasks such as resident coordination are included.

The idea is that you should be able to handle all these areas, which means that the days can be very variable.

QUALIFICATIONS

We are looking for someone with post-secondary education in personnel administration, economics, or other education deemed equivalent by the employer. Furthermore, you have previous experience in administrative work and experience in planning, scheduling, or staffing, preferably within healthcare and social services.

Additionally, we see that you have good knowledge of staffing economics, the ability to translate statistics into usable formats, knowledge of laws and regulations regarding working time planning, SoL, and LSS. We also expect you to have good system skills.

Furthermore, we see that you as a person can work independently, take your own initiatives, and structure your work. You are organized and solution-oriented, communicative and service-minded, and have high integrity. We also consider it important that you have good collaboration skills and can prioritize under time pressure.

Ödeshög Municipality applies individual salary setting. A probationary period may be applied during the initial 6 months.
