Do you want to contribute to the future of public transport in Stockholm? We are now looking for an experienced and structured Project Administrator who wants to play a key role in one of the city's largest investment projects.
About the assignment:
As a project administrator, you will be the spider in the web that keeps the project running smoothly. You will have many points of contact and provide support both internally and externally. With your sense of structure, service, and collaboration, you create order and give the project management the best possible conditions for success.
Your assignment includes, among other things:
Document and case management – planning, folder structure, registration, and archiving in systems such as Avima and EDIT.
Meeting administration – booking, planning, and documenting meetings and workshops.
Invoice management – coding and initial review in Agresso.
Travel and orders – travel bookings, IT orders, office supplies, and permissions.
On-/Offboarding – managing new and departing project members.
Quality forum – leading role in the project's internal quality work.
Information dissemination – ensuring that project members are updated with relevant information.
We are looking for someone who has:
Mandatory requirements
Approved high school diploma.
At least 5 years of experience as a project administrator in areas such as public transport, infrastructure, urban planning, technology, construction, vehicles, or IT.
At least 5 years of experience in case and document management.
At least 5 years of experience in invoice management in Agresso or similar.
Desirable experience
Project administration in public sector.
Experience with EDIT (Platina) or similar document management systems.
Administration in tools such as Atlas, Sharepoint, or similar project collaboration platforms.
Regular communication in English in international projects.
Personal qualities
Good communication skills
Strong sense of structure and efficiency
Ability to collaborate and build good relationships
Independent and solution-oriented
Practical information:
Location: Kungsholmen, with the possibility of some remote work.
Full-time, 40 hours/week
Start: September 8, 2025
End: December 31, 2028 (with possibility of extension)
