About the Department

The Work and Integration Unit (AI) handles cases concerning financial assistance, estate administration, budget and debt counseling, housing social contracts, integration, and labor market measures. The unit receives applications, conducts investigations and assessments, and makes decisions regarding potential assistance. Assistance can, for example, be financial assistance or a social rent contract. Assistance in the form of a housing social contract is time-limited and is followed up regularly. Regarding financial assistance, an action plan is established, which is followed up regularly and must be followed by the individual for them to be entitled to financial assistance.

Individuals who have difficulty entering the labor market may receive internships and work with wage subsidies to eventually become self-supporting. Individuals who are far from the labor market may receive activity placements and work training. We work with integration issues and receive quota refugees and assigned persons from the Swedish Migration Agency.

Regarding estate administration as well as budget and debt counseling, we handle all cases in the five Dalsland municipalities through cooperation agreements. We are now looking for a colleague who wants to work with us as a receptionist/administrator, working towards the entire IFO (Integration, Financial Assistance, and Employment) and employed under the Work and Integration Unit. Responsibilities

Your responsibilities include working in our reception and being the face of IFO. You are the first person most of our municipal residents and cooperation partners meet, either through visits or by phone. You manage the social office's email, where notifications, court rulings, and other important documents arrive and must be quickly distributed for handling by employees within IFO, as well as mail handling within IFO, which involves receiving documents and ensuring they reach the correct recipient. You will also implement the e-application for financial assistance and ensure the reception is helpful and driving this process forward.

Your work also involves other administrative tasks of various kinds, such as handling association grants from application to payment, diary registration, handling work orders from clients, ensuring functional logistics when taking on assignments, distributing revenues, invoicing for completed work, accounting and creating accounting orders, answering salary questions from participants, preparing employment contracts, and handling time reports in the payroll system eCompanion from participants in labor market measures. You will assist colleagues within the AI unit with eCompanion, write minutes and notes at meetings, generate and maintain statistics, and much more. You will be the hub within the unit and the person we all turn to with our questions.

Qualifications

We are looking for you who have at least a high school education, and further education in administration, economic administration, or similar areas is meritorious.

Previous experience working in a reception and with administrative tasks. You should also have competence in economics and experience with invoice management and accounting invoices. You need to have the ability to juggle many balls at once while maintaining structure, calmness, and a pleasant demeanor. In your role as IFO's receptionist, you meet many different individuals in various life situations. As the face of IFO, the work requires a sense of service and flexibility. In your role as the "hub and spider in the web" within the unit, a large portion of patience and social competence is required, as you will handle questions from colleagues, participants enrolled in labor market measures, and both internal and external cooperation partners.
