About the Team

You will become part of a work group consisting of a unit manager, 22 social secretaries, five senior social secretaries, one social assistant, and two administrators. The unit is divided into four teams working together towards the unit's mission and goals. The target group is children aged 0–12 and their families.

Welfare Gävle is undergoing development due to the new Social Services Act. The operations work to meet the goals of an accessible and knowledge-based social services system with the needs of children at the center.

Job Responsibilities

As an administrator, you ensure that invoices, purchases, orders, and decisions are administered correctly by providing administrative support to case handlers and managers. You are responsible for a broad spectrum of administrative tasks and ensure that the unit's processes run smoothly. This also involves developing new routines and collaborating with system administrators and other partners within the municipality and other authorities. You also collaborate closely with case handlers who may need advice on administrative matters, book travel, interpreters, and other tasks based on operational needs. In this role, you will also support other units within Social Services with administrative tasks during absences or when operations require extra support.

Your main tasks include administering, registering, and controlling processes in decisions made by the unit regarding authority exercises according to the Social Services Act (SoL) and the Care of Young Persons Act (LVU). You will also handle incoming court rulings, the Social Board's minutes, and personal files. You register payments in the operational system, account for invoices, and make purchases for the unit in the economic system Proceedo. You will also handle practical preparations for new hires at the unit, such as telephony, data, and office desks.

Qualifications and Merits

Qualifications
We are looking for someone who is structured, detail-oriented, and solution-focused. The role requires effective planning and organization of documentation, meetings, and follow-ups, as well as good communication and collaboration skills with residents, colleagues, and authorities.

To be eligible for the position, you have:

  • Upper secondary education in administration or economics, or other education combined with work experience that the employer deems equivalent.
  • At least one year of experience in administrative work within social services.
  • Experience with invoice processing.
  • Experience with the operational system Treserva.
  • Very good IT skills in Microsoft Office 365 and good knowledge of the Swedish language.

Meritorious qualifications:

  • Experience with Flexite, Proceedo.
  • Experience in creating and presenting statistics in a pedagogical manner.
  • Experience in making payments to contractors or clients.
  • Experience reporting to the Inspectorate for Health and Care (IVO).
