Assistants for the Unit for EU and International Affairs, Ministry of Justice

We are looking for two assistants for the EUI Unit, among other things responsible for coordinating Sweden's positions on the EU issues that the Ministry works with. Other tasks that the unit is responsible for include, for example, preparations for Council of the EU meetings and the political leadership's international travels and visits.

 

The unit assistants support the unit head and staff, taking independent responsibility for planning and follow-up within their areas of responsibility. The responsibility includes creating and maintaining structure in a complex environment with sometimes short deadlines through planning, coordination, and collaboration.

The work includes, among other things, economic administration, travel, venue, and conference booking, as well as practical handling of materials and other practicalities during the political leadership's foreign travels and incoming international visits.

 

A large part of the work is carried out in close collaboration with other colleagues in the unit, often at a high work pace. The work also involves contact with assistants and case handlers in other units and the political staffs in the Ministry. Having contact with other ministries and stakeholders outside the Government Offices on both a national and international level is also part of the job. The work is carried out in an environment that places high demands on security awareness.

Your background

 

We are looking for you who have current and relevant experience to work in a complex administrative environment and who have a post-secondary education in, for example, administration or public administration, or other experience that we assess as equivalent. You have worked in roles with clear administrative weight, such as assistant or in another function where administration has been a central part, and you have experience of working in a Swedish authority. For the role, it is also required that you are accustomed to handling larger meetings, travel administration, and delegations. You express yourself very well in both Swedish and English, both orally and in writing, and you have a high level of IT maturity with good ability to work in digital tools and solid knowledge of the Office package, especially Word and Outlook.

 

It is meritorious to have experience of developing administrative routines and driving processes, for example within efficiency or digitalization, as well as experience of working in the Government Offices as an employee, at a Swedish foreign authority or within one of the EU's institutions or authorities. Furthermore, knowledge of archiving and diary registration, public access and confidentiality, EU institutions and decision-making processes, as well as the Government Offices and the Riksdag, is meritorious.

This employment is permanent and starts as soon as possible. We will hire two new unit assistants. A security clearance will be conducted before a decision on employment is made.
