Our client is undergoing a comprehensive transformation program introducing a new unified store solution for all stores and associations. This change involves new systems, processes, and ways of working, creating a significant need for clear, user-friendly, and pedagogical documentation.

We are now looking for a Coordinator for Manuals & User Documentation who will be responsible for structuring, coordinating, producing, and quality-assuring manuals and instructions that support the business during the transition to new ways of working.

In this role, you will work closely with Key Users, change managers, training coordinators, and other stakeholders. You will be responsible for the entire documentation process – from planning and structuring to final publication.

• Establish and maintain common templates, standards, and structures for manuals and instructions

• Plan, coordinate, and follow up on documentation work together with relevant stakeholders

• Coordinate documentation between different process areas to ensure consistency and avoid duplication of effort

• Produce, edit, and finalize user manuals based on business and system requirements

• Ensure that materials are pedagogical, clear, and tailored to the target audience

• Support Key Users in content creation and structuring

• Act as a cohesive link between different business areas

• Collaborate with training, communications, and change management functions

• Monitor usage and feedback and drive continuous improvements in documentation and working methods

• Consistent and quality-assured manuals and instructions

• Documentation structure and working methods used throughout the program

• Pedagogical and user-friendly material adapted for store personnel

• Coordinated documentation between process areas and initiatives

• Ongoing updates and improvements to documentation in line with business changes

• Experience producing user documentation, manuals, or training materials

• Experience coordinating and organizing in projects or programs with many stakeholders

• Strong ability to write pedagogically, structured, and tailored to the target audience

• Experience in quality assurance of documentation and information materials

• Understanding of change management and implementation of new systems or processes

• Excellent command of Swedish, both spoken and written

• Experience from retail, store operations, or grocery trade

• Experience from large-scale transformation or change programs

• Experience working closely with training, communications, or change management
