About the role

As a Workplace Coordinator, you are responsible for coordinating and developing the workplace and environment to ensure it functions efficiently, safely, and inspiringly - every day. You work closely with HR, Office Management, security providers, and other internal teams, while being an important part of the Workplace Experience team. Your main responsibilities include:

  • Planning and executing internal and external events and activities - from booking and technology to food and furniture
  • Being visible in the office and ensuring it is always in top condition through daily rounds and operational work
  • Managing onboarding and offboarding (computers, mobiles, access)
  • Responsible for access control systems, alarms, and contact with security providers, responsible for fire safety work and organizing drills
  • Working with systems such as Nimway, Flexlock, and ARX
  • Ensuring meeting room technology works and supporting with simple IT issues while collaborating with the Service Desk on technical needs
  • Managing purchases for the office (e.g., office supplies)
  • Responsible for parking, taxi cards, and other practical functions
  • Managing reception as needed and welcoming guests

This is a full-time position starting May 4, 2026, located at Kungsgatan 57 in Stockholm, where approximately 500 people work. Working hours are between 07:00-17:00, and there are three people on a rotating schedule. You are expected to be present in the office every day of the week.

We are looking for someone with experience working in a dynamic environment in a similar role within service, office, events, or workplace/office management. We see that you are accustomed to coordinating activities and managing multiple parallel tasks simultaneously and have a basic technical understanding of meeting room technology, IT equipment, etc. To thrive in this role, we believe you are:
