We are looking for

Conference Coordinator, temporary position for 12 months starting approximately 2026-08-15.

Content and Responsibilities

Your responsibilities include preparing, executing, and following up on various types of events, conferences, and meetings with internal and external participants.

The work involves everything from coordination meetings with clients, coordinating internal support (e.g., catering and technology), being responsible for creating conference and registration web pages, and participant management. You will also work on preparations and provide service on-site during the execution.

The tasks are varied, requiring you to be flexible and prepared to work practically when needed.

The position also includes handling quotes and invoices, as well as coordinating evaluations. Other tasks may arise, such as developing new routines as the function is in constant development.

Working hours are mostly during office hours, but there may be work during inconvenient hours.

Qualifications

You should have post-secondary education in event management, service management, project management, or another equivalent field. You also have several years of experience working with events, conferences, and meetings in a larger organization.

The university operates in an international context, requiring you to have excellent communication skills in both spoken and written Swedish and English. You have high digital competence, and it is an advantage if you have worked with conference systems such as Invajo Beyond.

We also want you to have extensive experience working both independently and in a team.

As a person, you have a professional attitude, are service-oriented, and have good initiative.

Great importance is placed on personal suitability.

Workplace

The position is located in the Management Staff, which is part of Malmö University's common operational support. The Management Staff is responsible for the following functions within the university: conference services, service center, registration, archive, and support for university management. About 20 employees work in the Management Staff. Our main workplace is in the Nereus building, which is about a five-minute walk from the Central Station.

The conference service supports the planning and execution of events, conferences, and meetings under Malmö University's auspices. The arrangements primarily take place in the university's own facilities but may also occur outside the university. The conference service currently consists of three people.
