Administrative Assistant at Fortifications Agency in Arboga
The Fortifications Agency is looking for an administrative assistant based in Arboga. Your everyday life - contribute to total defense
The Fortifications Agency has an administrative organization divided into six regions, and we are now looking for an administrative assistant in Arboga for Region Mitt. Region Mitt manages properties in eight counties in central Sweden. The largest garrison towns in the region are Enköping, which is also the regional office, Uppsala, and Linköping. We also have operations in Eskilstuna, Arboga, Hälleforsnäs, Norrköping, Älvdalen, Falun, Villingsberg, and Kvarn. The regional staff has the task of coordinating, planning, following up, reporting, and analyzing operations. We ensure that the region is updated on the laws and regulations that exist within our mission, and we introduce and train colleagues as needed.
As an administrative assistant, you will belong to the regional staff consisting of eight people; four administrative assistants, an environmental officer, a database officer, a contract officer, and a staff manager. As an administrative assistant, you will provide support in finance and administration to the region's operational districts and management areas, and you will have a designated area of responsibility with cost managers you primarily support.
Examples of additional tasks include:
- Ongoing financial administration such as handling supplier invoices and invoicing.
- Monthly financial closing.
- Participating and supporting the region's budget, follow-up, and analysis work.
- Supporting cost managers in finance-related areas, such as budget and forecasting work.
- Working with register maintenance in property systems and being a super user in various support systems.
- Being responsible for training and informing staff in finance and accounting.
- Coordinating and supporting work on lease agreements and other contracts.
- Being involved in developing and improving processes.
Business trips within the region occur, and in the long term, the role may be part of the regional crisis management staff. Qualifications
We are looking for someone with a degree in finance, preferably in accounting at the university level, or other education that we consider relevant. You also have experience working with financial administrative tasks, preferably in closing accounts, budgeting, and follow-up. Furthermore, it is a requirement that you are a good administrator, communicate and express yourself well both verbally and in writing in Swedish, and have a driver's license, class B.
It is advantageous if you have education in accounting, preferably with a focus on real estate. It is also advantageous to have experience working in another authority or public sector, as well as having good knowledge of the IT support system Unit4 ERP, the property system Faciliate, or Excel.
