We are looking for an administrative assistant to the unit's administrative team, where we both investigate transport services and manage the unit's administration and finances. One of our administrators will go on parental leave, and we are now looking for her replacement!
About us in the unit
In the ordering unit Hässelby, which is part of the department for elderly care, people with disabilities, and social psychiatry in Hässelby-Vällingby, nearly 20 people work with a wide range of ages and experiences. We collaborate closely with the Vällingby unit, and those involved in unit support work for both units. Within the Hässelby unit, there are 14 case officers, 3 administrative assistants, one case officer with a special assignment as a mentor and method developer, a team leader, and a unit manager.
Our workplace is Hässelby Square, close to green areas and lunch restaurants. The atmosphere here is good, and we actively work for a positive work climate with health-promoting activities. Your role
As an administrative assistant, you will work closely with our five other administrative assistants, directly under the unit manager. Your main tasks include:
- investigating the need for transport services, primarily in the office but also during home visits
- processing fees and invoicing, as well as being responsible for purchases and orders in Agresso
- checking invoice documentation in the city's operational system Paraplyet
- collecting information digitally from various authorities
- contacting customers and relatives via phone and email, as well as handling physical mail
- managing our paper archive and purging according to retention rules when necessary.
The role may also involve flexibility for other tasks based on the needs of the operations.
Your skills and experience
We are looking for someone who:
- has a high school diploma, preferably in economics or administration
- is experienced in using the Office suite, especially Excel with numbers
- has current experience working with invoices in Agresso
- has experience independently finding information in agreements and guidelines
- has good knowledge of Swedish in both spoken and written form.
It is a merit if you have:
- post-secondary education in economics or administration
- worked in elderly care
- worked in public operations
- worked in the city's social operational system Paraplyet.
To thrive in this role, you need to have good collaboration skills. You are good at listening to others and adapting your communication to the person you are speaking with. To manage the role, you need to be independent and structured, which means you plan and execute your work effectively. You are also meticulous and attentive to details. Furthermore, you have a flexible ability and can prioritize when circumstances change.
