State Museums of Maritime, Transport and Defence History is looking for Administrative Support
The State Museums of Maritime, Transport and Defence History work with cultural heritage with the vision of broadening people's worldview through knowledge, experiences, and engagement.
The authority has a well-integrated sustainability effort and also aims to inspire others to act for a sustainable future. We are a museum authority that operates and develops the Maritime Museum, the Maritime Historical Museum, the Vasa Museum, the Wreck Museum, and the Railway Museum. Since January 1, 2026, the Defence Historical Museums, the Army Museum and the Air Force Museum, will also be part of the authority.
We have exciting development work ahead of us as the authority grows in 2026. We will continue to develop a culture and working methods where people and ideas have space to grow while building a common culture with shared working methods in a new organizational structure within a larger authority. About the position
You will work as administrative support to the authority's chief and head of staff, assisting with calendar bookings, travel bookings, conference bookings, and other arrangements at the authority-wide level. You will handle the administration surrounding the authority's central meeting forms, managing invitations and any other bookings/orders that need to be arranged. You will have administrative responsibility for the agenda process and may also be responsible for the Defence Tradition Committee (invitations, arrangements, and minutes). In this role, you will experience a wide variety of tasks, which may differ from day to day.
An important part of your tasks is working with the registry, where you, together with the authority's chief registrar, will register documents and assist with related inquiries. If necessary, you will also handle mail opening and distribution of cases. You will also work with administration and registration regarding the entire process for state grants to defence historical museums in Sweden.
Your qualifications and experience
You should have a post-secondary education in administration or a field we deem equivalent and several years of experience working with similar tasks as an administrator and/or registrar in public operations. The work includes taking minutes and being able to write decisions, which is why you must express yourself very well in both Swedish and English, both orally and in writing. Previous experience as a registrar is an advantage, as well as similar assignments within the museum sector as described above.

More about us
The staff's responsibilities include support to the authority's chief and management group, the authority's registry, administration regarding the authority's contracted travel agency services, administration of grant management, and the Defence Tradition Committee. The staff is also responsible for the planning and follow-up process, including the annual report. The staff consists of a total of six people, including the head of staff.
Employment
Permanent employment, full-time. A 6-month probationary period may apply, with a start date to be agreed upon.
