The Traffic Office is responsible for managing and developing Stockholm's public spaces, ensuring they are safe, attractive, accessible, and sustainable. The mission includes everything from taking care of the existing urban environment to implementing strategic investment projects and planning for tomorrow's growing metropolis. To accomplish our mission, we are about 470 colleagues, mainly located in the newly renovated premises of the Technical Committee House on Kungsholmen. Together, we ensure that Stockholm continues to be a leading city with sustainable transport solutions and vibrant environments, both today and in the future.

Welcome to us

The Staff Unit is part of the Urban Environment Department, which consists of a total of eight units.

The department manages and develops the city's streets and squares. This means we are responsible for everything from large square renovations to pest control, sauna issues, and the office's collaboration with the local police.

We in the staff coordinate the handling of the department's matters to the Traffic Committee and certain department-wide issues and are responsible for department-wide administration. The staff consists of a head of staff and two employees.

We are now looking for someone who thrives in an administrative and outward-facing role in an organization where a lot is happening and where the issues we work with engage many. Our issues, projects, and budget assignments have a significant impact on the lives of Stockholmers and have received increasing focus in recent years, which we find exciting!

Your role

In the role of coordinator, you will provide qualified administrative support to the department head and unit managers. The tasks include, among others:

  • booking and coordination of meetings
  • documentation in the form of meeting notes and memos
  • coordination of departmental meetings, planning days, conferences, study visits, and travel
  • creating PowerPoint presentations
  • ordering snacks, computers, and phones for the department's employees
  • responsibility for purchases and practical arrangements related to birthdays, farewell parties, and similar occasions
  • implementing processes and routines through, for example, information mailings, presentations, or shorter training sessions
  • administrative responsibility for the department's vehicles.

There is also an opportunity to conduct smaller investigations or coordination projects within the framework of the department's mission.

Your skills and experience

We are looking for someone who has:

  • high school diploma
  • at least one year of relevant experience in similar administrative work and tasks that we consider relevant for the position, such as a role as an executive secretary or project administrator
  • driver's license (B)
  • good computer skills in the Microsoft Office suite (Word, PowerPoint, Excel, and Outlook)
  • good knowledge of Swedish in both spoken and written form.

It is advantageous if you have:

  • relevant post-secondary education, preferably with a focus on administration, social sciences, or similar that we consider relevant
  • experience working with administrative tasks in a politically governed organization
  • experience working with administrative financial systems for invoice management, for example
  • experience implementing processes and routines through, for example, information mailings, presentations, or shorter training sessions
  • experience supporting and driving organizational development from an administrative role
  • good knowledge of English in both spoken and written form.

You are self-driven in your role, take responsibility for your tasks with a good ability to plan, structure, and prioritize in everyday life. You have a strong service mindset and thrive in a supportive role where conditions sometimes change. You enjoy collaborating with others and communicate clearly and professionally in your interactions with different parts of the organization.
