About the Defense Staff
The Defense Staff supports the Supreme Commander by processing and preparing incoming cases, questions, and tasks, and ensures that decisions made by the authority's management are implemented, followed up, and reported back. The Defense Staff is also responsible for translating the government's guidance of the Armed Forces into strategic plans and directing the branches and combat force commanders. Furthermore, the Defense Staff has an overarching responsibility for coordinating infrastructure and material supply.
The Defense Staff's department for economic and operational management - FST EVS actively works to adapt and develop the internal economic and operational management in relation to internal and external requirements. The department has 19 permanent positions and consists of two sections; the external section and the internal section.
Main Responsibilities
You will work with administrative support to the Chief Financial Officer, Deputy Chief Financial Officer, and Chief of Staff. The tasks mainly consist of calendar management, meeting, travel, and visitor administration, minute-taking, purchasing, and ordering. The tasks also include financial administration, administration of the department's intranet, being a work environment representative, handling local issues, and department-wide activities, as well as supporting management regarding planning, coordination, implementation, and follow-up of daily routines. You will also manage the handling of open and classified documents, act as a security person, and develop the department's work routines.
The tasks place high demands on integrity, independence, and order, as well as the ability to handle many tasks simultaneously. Your role will cover multiple contact areas, both internally and externally, and the work will be both independent and team-based.
Qualifications
- High school diploma with an administrative and/or economic focus or equivalent relevant education.
- Experience in qualified administrative work at e.g., government agencies, law firms, or companies.
- Good ability to express oneself verbally and in writing in Swedish and English.
- Good knowledge of the Office suite.
- Experience/knowledge in producing presentation materials.
- Driver's license at least B.
Meritorious
- Knowledge of the Armed Forces or the defense sector.
- Experience with SAP/Prio.

You should also have the ability to see potential for change in administrative routines and suggest changes. Furthermore, you are pragmatic and have good collaboration skills as the position involves many contact points. As a person, you should thrive in a demanding and dynamic environment where the pace is sometimes high. Great emphasis will be placed on personal qualities and suitability.
Other
The position is civilian. The job requires Swedish citizenship and a security clearance will be conducted before employment. Start date as soon as possible or by agreement. The position is a permanent employment that begins with a 6-month probationary period. Individual salary setting applies. The position is located at the Armed Forces Headquarters in Stockholm.
