About the role

In this role, you will be responsible for the daily and long-term management of Hemfrid's vehicle fleet of over 300 vehicles across the country. You are our first line support for everything related to vehicles and damages – ensuring that cases are handled correctly, efficiently, and professionally.

This is an operational role with significant responsibility. One day you will support managers with vehicle-related issues, the next you will coordinate vehicle exchanges, manage rental cars, or follow up on damages and costs. At the same time, you will proactively work on developing routines and processes that simplify everyday tasks and contribute to cost control.

You will work closely with Operations (regional and area managers), the finance department, purchasing, and external suppliers. The role is part of Hemfrid's Finance team, and you will report to the Operations Support Manager. If necessary, you will also support claims support and finance with simpler administrative tasks.

Travel occurs a few times a year in connection with training and meetings at other offices.

Key responsibilities

  • First line support for the company's vehicle fleet, internally and externally

  • Management of vehicle orders, sales, and rentals

  • Administration and updating of systems and databases related to the vehicle fleet

  • Support to finance in handling vehicle-related invoices

  • Communication to the business regarding vehicle exchanges, tire changes, service, inspections, and routines

  • Updating the intranet/SharePoint with current vehicle information

  • Collaboration with suppliers and partners such as Toyota, Bilia, Abax, Bilreda, the Swedish Transport Agency, and insurance companies

  • Support to managers in vehicle-related matters

  • System and information responsibility within fleet management

  • Continuous development of routines and processes to simplify and reduce costs

You are communicative and confident in dialogue with both internal colleagues and external parties, and you easily build trusting relationships.

Key requirements

  • At least 2–3 years of experience in an administrative and coordinating role

  • Experience working with many internal (and preferably external) contact points

  • Very good ability to structure, prioritize, and manage parallel tasks

  • Good communication skills in both spoken and written Swedish and English

  • Basic competence in the Office365 suite

  • Experience in fleet management or vehicle administration is highly desirable

Practical information

The position is full-time with regular office hours. We work according to an office-first approach, with the possibility of remote work 1–2 days a week by agreement with your immediate manager.
