We are currently seeking a reception coordinator for information and documentation on behalf of our client, a government agency. The assignment is 80-100% and is expected to start on 2025-12-01 and last until 2028-11-30, with the possibility of extension for 1+1+1+1+1 years, i.e., until 2033-12-01 at the latest.

About the assignment We are now looking for several experienced Documentation Specialists for a long-term assignment within a vital community organization. The assignment is part of a unit responsible for technical facility information with a focus on projects related to station facilities.

In this role, you will coordinate and manage the receipt of documentation deliveries from projects to management. You will be a key person in ensuring that final documentation meets quality, content, and time requirements.

Examples of tasks

  • Develop a delivery plan for the handover/receipt of final documentation together with the documentation manager in the project and management.
  • Be responsible for confirming the delivery plan with the client.
  • Review the checklist for handover/receipt
  • Quality review, coordinate, and update drawings and documentation according to formal requirements
  • Manage information in document management systems and maintain internal dialogue
  • Participate in planning meetings regarding technical facility information.
  • If applicable, support the development of work processes, checklists, and routines, as well as serve as support during the startup of new projects to ensure requirement specification and identify any deficiencies in existing documentation and propose actions that can be managed by the project.
  • If necessary, other tasks within the unit may also be performed, such as handling cases or conducting data quality improvements, this will be done in agreement with the client.

Other: Start: 2025-12-01  End: 2028-11-30 Scope: 80-100%, with up to 60% remote work (the consultant must be on-site at least 2 days a week). Location: Sundbyberg, Västerås, or Sollefteå. Background check: Security clearance and background check are part of the process. Employment form: Employed by Devotum as the client does not approve subcontractors in this process.

About you We are looking for someone who meets the following mandatory requirements:

  • University or college degree (at least 180 credits) in engineering or civil engineering, or equivalent vocational education
  • At least 5 years of experience in receiving/handover of final documentation from projects to receiving management (e.g., documentation controllers, documentation managers, documentation coordinators, reception coordinators).
  • At least 8 years of experience working with documentation in infrastructure, civil engineering, industry, or construction
  • At least 8 years of experience in technical documentation management including drawings, technical documents, etc., in an information system or similar
  • Very good knowledge of Swedish, both spoken and written

It is a merit if you also meet the following requirements:

  • Have at least 5 years of experience working with the handover of final documentation related to stations in the electrical industry.
  • Have at least 5 years of experience in project management
  • Have at least 5 years of experience working within a management organization
  • Have at least 3 years of experience working in the IFS system with documentation
