Are you an experienced and driven administrator who enjoys coordinating, structuring, and improving work processes? We are looking for you who want to become a key person in a technically oriented organization responsible for the operation and development of Stockholm's infrastructure.
Your responsibilitiesIn the role of Administrator, you will be an important support for the section management and work with a wide range of administrative and coordinating tasks. You will, among other things:
Manage documentation in diary systems and write minutes of meetings
Plan and coordinate meetings as well as work with internal newsletters
Streamline administrative processes and drive improvement projects
Coordinate onboarding and offboarding of employees
Contribute to the development of routines and processes for increased quality and efficiency
The work is mainly conducted on-site in modern premises in central Stockholm, with the possibility of some remote work.
We are looking for you who have:Post-secondary education (at least 180 credits) in a relevant field, or a high school diploma with at least 10 years of relevant experience.
At least 5 years of experience in a coordinating/administrative role
At least 5 years of experience in financial monitoring and working with budgets/forecasts
At least 2 years of experience as management support
Desirable experiences:
Experience in politically governed organizations (at least 2 years)
Experience from technical operations within infrastructure (at least 1 year)
Invoice management in Agresso or similar financial systems (at least 3 years)
Document management and archiving (at least 5 years)
Project management of business development projects (at least 2 assignments)
A structured, solution-oriented, and communicative person who thrives in a role where you can work independently, while also being a team player who contributes to an open and positive work environment. You have a knack for prioritizing and managing multiple parallel tasks and are passionate about creating order and clarity.
Practical information:
Assignment duration: September 15, 2025 - September 15, 2027, with the possibility of extension Location: Central Stockholm (with some possibility for remote work) Scope: Part-time approx. 20 hours/week, with the possibility of increasing to full-time
