Your Role

As a registry clerk, you are responsible for ensuring that the registration and handling of public documents are carried out with high quality and in a legally secure manner at the agency.

This position is a six-month fixed-term contract.

You will primarily work with the daily handling of public documents, which largely involves registering documents from the official inbox as well as internal and external mail in our case management system, Public 360. Your duties include handling requests from the public regarding the disclosure of public documents, including confidentiality reviews, and working with ongoing case follow-up. You will also work with system administration in Public 360, for example, by assigning user permissions to employees. Your role also involves providing support to Swedish Food Agency employees regarding the registration and handling of public documents. You contribute to the development of working methods and routines and gain new perspectives for the field through active environmental scanning. For us, environmental scanning is part of successfully disseminating our expertise and developing in our roles.

The Security Unit

The Registry is part of the Archive and Registry team within the Security Unit. The Unit handles information management, information security, general security issues, and contingency planning. The Unit also covers security protection, data protection, and signal security, and provides support in the Agency's work on crisis preparedness and civil defense. The Unit consists of approximately 20 employees and is now seeking a registry clerk.

Your Competence

We are looking for you who have at least a high school diploma and current professional experience as a registry clerk. If you have a university-level archivist education or training as a certified registry clerk, this is an advantage. To succeed in the role, you must have experience working with document registration, digital information management, and case management systems.

You should have good knowledge of the legislation governing the handling of public documents. It is an advantage if you have experience with confidentiality assessments in connection with disclosure cases and if you have experience handling documents classified for security protection. Furthermore, we require good IT skills, primarily in the Office suite. Knowledge of Public 360, Adobe Acrobat, and experience in conducting training are additional advantages. In addition, you must have very good skills in Swedish and good skills in English, both spoken and written.

If you have experience in project management or asset management (e.g., implementation of new systems, system upgrades, or test management), this is also an advantage, as the position may include asset management of case and document handling.

You are accustomed to handling work peaks and act efficiently and carefully even in these situations. This position is classified for security clearance, and Swedish citizenship is a requirement for employment. A security vetting will be conducted in accordance with current security protection legislation.

Salary is set in accordance with the central collective agreements for the public sector. At the Swedish Food Agency, individual and differentiated salary setting is applied.
