About the job
You will be part of Sida's Administrative Department, which consists of approximately 120 employees who together are responsible for the agency's overall administration and operational support. The department is also responsible for central control functions, such as guiding and developing operations, financial management, accounting, and grant management.
The department consists primarily of senior experts within HR, internal control and governance, finance, legal affairs, procurement, documentation, and archives.
The focus of the role is to provide professional administrative support to the department's management. As a Department Administrator, you will become part of a good work group and contribute to the department's varied tasks.
Responsibilities
- Provide administrative support to management, for example, calendar management, digital planning boards, and document and case management.
- General administration such as IT orders, some HR administration, onboarding of new employees, management of pages and collaboration spaces on the intranet, etc.
- Responsibility for some financial administration and invoice coding, as well as support to managers and the controller in monitoring the administrative budget.
- Minute-taking and support during internal and external meetings and larger events.
- Contribute to operational planning and follow-up, annual reports, procurement, surveys, etc., on behalf of the manager.
- Other administrative tasks including error reports, orders, the agency's digital mailbox, archiving, and decision management in collaboration with other administrators at the agency.

Qualifications
Education
- Upper secondary education (high school diploma)
Languages
- Very good knowledge of Swedish and the ability to communicate well orally and in writing.
- Good knowledge of English and the ability to communicate orally and in writing.
Work experience and skills
- Current and several years of experience working in an administrative role.
- Very good experience using digital work tools such as Teams, Skype, and Zoom.
- Very experienced user of the Office suite and its various functions.
- Some experience in financial administration.
- Experience handling many different tasks in a supporting role.

Advantageous qualifications
For this role, it is advantageous if you have:
- Experience working in the public sector and knowledge of public access to information.
- Experience with procurement and call-offs from framework agreements.
- Experience conducting surveys.
- Experience writing minutes.
Good to know
The position is a permanent employment with immediate effect.
