The Role of Executive Assistant

In the role of Executive Assistant, you will work closely with the CEO and become a central function in the business. You will support daily operations while contributing to creating structure, coordinating activities, and following up on projects. The role is broad and suits you if you thrive in a changing environment with significant personal responsibility.

You will work in a competence-driven organization characterized by collaboration, quality, and innovation, where you have the opportunity to influence working methods and structure.

Examples of responsibilities:

• Coordinate calendars and book travel, meetings, conferences, and events
• Handle incoming invoices and reimbursement reporting
• Prepare materials for board meetings and write minutes
• Coordinate office-related issues such as contracts and space planning
• Plan and coordinate meetings for various internal and external forums
• Compile evaluations and decision support materials for project decisions
• Follow up on time usage and status in ongoing projects
• Ensure project documentation and collect feedback

Who are you?

We are looking for you who have experience in a coordinating and administrative role, preferably as support to management or the CEO. You work in a structured and independent manner and thrive in an environment with a high pace and changing conditions. You are communicative, proactive, and used to driving your own work forward.

You also have:

• Good knowledge of Word, Excel, and PowerPoint
• Very good knowledge of English and Swedish, both spoken and written

As a person, you are meticulous, stable, and stress-resistant. You have high integrity and a professional approach. You are flexible, unpretentious, and service-oriented, and thrive in a smaller organization where collaboration is central. The role involves contact with researchers and specialists, so it is advantageous if you have an interest in AI, technology, or scientific environments.

This is a consulting assignment located in central Stockholm, where you will work for our client. The assignment is planned to start in August or as agreed and initially runs for 6 months, with good opportunities for direct hiring by our client.

This is a full-time position, but there is also the possibility to start at 50% and then grow into a full-time role in the long term.
