Job Description

Are you a structured and service-oriented administrator looking to work with our legal department? At SiS, we are looking for a qualified administrator who thrives on developing administrative processes, coordinating meetings, and supporting our managers in a dynamic and developmental environment.

We are looking for someone with experience providing advanced administrative support to managers and management teams, who enjoys a service-oriented and varied role with many contact points both internally and externally. As administrative management support, you will provide qualified support to the Department Director, Section Managers, and the management group within the department.

The role is broad and varied, involving responsibility for coordinating, planning, and administering a large number of processes and activities that contribute to a well-functioning operation.

Your responsibilities include, but are not limited to:

  • Calendar management and booking of meetings for the Department Director, Section Managers, and management group.
  • Planning and coordination of departmental meetings, section meetings, management meetings, department days, and other internal activities.
  • Administration regarding employee reviews, salary discussions, holiday planning, and scheduling.
  • Coordination of business trips and other practical arrangements for management.
  • Administrative support in recruitment, onboarding of new employees, and offboarding.
  • Registration, filing, and dispatching of documents, as well as drafting delegation decisions.
  • Preparing agendas, minutes, and protocols for management meetings.
  • Invoice handling and administration in financial systems.
  • Publishing and updating information on the intranet.
  • Managing functional email boxes, mail, and other ongoing administration.
  • Planning and coordinating conferences, training sessions, and other larger events, including contacts with external suppliers and participants.
  • Participating in the development and quality assurance of administrative routines and working methods.

The role requires you to work independently, structured, and service-oriented, with a good ability to handle several parallel tasks simultaneously. You have many contact points within the organization and contribute to creating good conditions for managers and employees in their daily work.

Qualifications

We are looking for someone who has:

  • Completed upper secondary education (high school diploma).
  • Several years of experience in a similar role.
  • Experience in independently coordinating tasks or projects.
  • Good knowledge of the Office suite and high IT maturity.
  • Good communication skills, both oral and written, in Swedish.

The following experience is meritorious:

  • Experience in government administration, which gives you a good understanding of our processes and regulations.
  • Experience with the Public Access to Information and Secrecy Act, filing, and GDPR, as this is important for handling sensitive information correctly.
  • Experience in arranging meetings, conferences, or larger events, as this demonstrates your ability to handle logistics and coordination.

Employment type: Fixed-term contract for up to one year
