Development Office is a department within the University Administration at Uppsala University.

The department's mission is to develop the university's relationships with national and international external stakeholders who wish to contribute financially or in other ways to strengthen the university's position and strategic renewal capacity. The department's activities encompass fundraising, sponsorship, and alumni affairs, serving as a support for the entire university. The department operates in close dialogue with both Uppsala University's researchers and management, as well as other departments within the University Administration.

Engaged alumni at companies, organizations, and other workplaces are ambassadors for the university and are therefore important for the development of the university's national and international activities. The alumni are also a resource for the university's students, both during their studies and as they enter the labor market.

Uppsala University's alumni network comprises 35,000 alumni in 150 countries. The network includes approximately thirty national and international alumni associations and groups. The associations regularly organize reunions, lectures, study visits, and other activities for their members. The work with alumni relations is handled within the department by a team consisting of three employees.

In 2027, Uppsala University will celebrate its 550th anniversary. The jubilee will be characterized by a number of internal and public events, offering unique opportunities to further highlight the university's activities and to strengthen and deepen relationships with alumni worldwide. As an Alumni Coordinator, you will play an important role in planning and implementing communication efforts before and during the jubilee.

Responsibilities

In your role as Alumni Coordinator, you are expected to proactively support and inspire the university's and alumni associations' initiatives towards alumni. In addition, you will plan, coordinate, and be responsible for the execution of the alumni activities' events. You have excellent stylistic skills and can produce target-group-adapted material for both printed media and digital platforms and newsletters.

The university's alumni contacts are administered via a CRM system, which means a prerequisite for the work is that you are a skilled and qualified user of databases.

The work is sometimes characterized by a high pace and rapid reprioritizations, which places great demands on flexibility and willingness to collaborate among all employees. The work also requires that you occasionally participate in events outside office hours.

You report to the Head of Department for Development Office.

Qualifications

The person we are looking for should:

  • have several years of operational experience in similar tasks, within a university or other government agency
  • hold an academic degree relevant to the tasks
  • have good knowledge of the academic environment and the conditions of research
  • be able to communicate fluently in both Swedish and English, both orally and in writing
  • have excellent stylistic skills, primarily in Swedish
  • be a documented qualified user of the entire Office package, databases/CRM, image editing programs, and tools for digital distribution
  • have documented experience in producing target-group-adapted communication for digital channels in professional contexts
  • have experience working with different stakeholder groups and coordinating activities in complex organizations
  • have documented very good administrative skills

Desirable/Additional Qualifications

  • have practical experience in independently planning, arranging, and executing large public events "from A to Z"
  • have experience in building and coordinating professional networks
  • have produced/edited moving images, e.g., video or graphics, in professional contexts
  • have experience relevant to the position from Uppsala University

About the Position

The position is a fixed-term appointment until 2027-11-30. The scope is full-time. Start date: ASAP or as agreed. Location: Uppsala.
