We are seeking an office manager capable of owning and leading the supportive working conditions and environment for a growing company with 35 employees.

A forward-looking mindset and a "love to help" attitude are the DNA of this role.

Accounting

• Assign and tag 'business area' and projects to incoming supplier invoices
• Send supplier invoices for approval/authorization
• Coordinate with approvers/authorizers if any problems arise
• Coordinate if goods have been delivered
• Create customer invoices
• Manage expenses
• Manage credit cards

Onboarding new employees

• Offboarding employees
• Breezy (assist Aymeric when needed)
• Arbetsförmedlingen (post job ads)

Purchases for the lab

• All non-recurring purchases
• Contractors & supplier contacts

Purchases for the office

• Recurring + non-recurring purchases
• Contractors & supplier contacts

Incoming Deliveries

• All incoming goods

Outgoing Shipping

• All outgoing goods

Office Management Activities

• Empty mailbox
• Fob administration
• Report to AH if anything needs to be fixed
• Cleaning of premises
• Admin for most of our software (excluding Dropbox, Benchling, ESET)
• Filing + signing of agreements (NDA, CDA). "Commercial database"
• Food ordering (recurring and non-recurring)
• Keep track of inspections (health department in Solna, Electricity inspection (IF, Elektriska nämnden, Bereko, Presto))
• Event planning
• Travel arrangements (internal and external)
• Keep EZ Wiki up to date

• Monthly meetings + yearly meetings with actions
• Office security and general wellbeing
