Do you want to help make daily operations run smoothly for our departments – every day! We are now looking for a Staffing Planner to join our dedicated team at the Staffing Unit!

The Staffing Unit is part of the HR Office in Vetlanda Municipality. Our mission is to ensure that the right person is in the right place every day, all year round. We handle short-term staffing within healthcare and social care, preschools, schools, catering, and facility maintenance. Here, you will meet a team that supports each other, works at a high pace, and always focuses on solutions.

As a Staffing Planner, you play a central role in ensuring our operations function smoothly. You work closely with managers, employees, and substitutes, ensuring that staffing maintains high quality.

In this role, you have many contact points and frequent dialogue with managers and staff. This requires that you can express yourself clearly in Swedish, both orally and in writing, and that you have very good computer and system skills.

A day in the role…

begins with you and the team reviewing the day's staffing situation. You handle incoming absences, fill vacancies, and maintain ongoing dialogue with managers and substitutes. Throughout the day, you switch between solving urgent staffing needs, planning ahead, and monitoring staffing in our systems. The pace is fast, and you need to prioritize, make quick decisions, and find solutions while maintaining good service in every interaction.

Your responsibilities include, among other things:

• covering short-term absences
• having daily dialogue with managers and staff
• recruiting and monitoring hourly substitutes
• ensuring a good level of substitute staff
• administering absences and bookings in our systems
• supporting departments with staffing issues

We are looking for someone who…

thrives in a dynamic and service-oriented role where most of the work is performed via phone and our personnel systems. You are solution-focused and enjoy a fast pace, you have a strong service focus and like helping others, are a team player with good collaboration skills, and are structured with the ability to prioritize.

You have:

• very good communication skills in Swedish, both oral and written
• very good system proficiency and digital competence
• good experience using the phone as a work tool
• experience in administration, staffing, or similar work is an advantage

Qualifications

• At least a three-year upper secondary education, preferably supplemented with relevant further education.
• Experience handling tasks via phone and IT support.
• Experience in short-term staffing and recruitment is an advantage.
• Category B driver's license.
• We place great importance on your personal qualities.
