The Personal Assistance Area is part of Functional Support within the Social Services Administration in Jönköping Municipality. We are responsible for ensuring that citizens with extensive and long-term disabilities receive personally tailored support in their daily lives in accordance with the Act on Support and Service for Certain Persons with Disabilities (LSS). Our goal is to promote personal abilities and create conditions for as independent a life as possible.

Your new job

As an Administrator, you become an important part of our operations. You work broadly with administrative tasks, with a special focus on invoice processing and providing administrative support to the operations. In the role, you work among other things with:

  • Invoice processing where you receive, review, and reconcile invoices against supporting documents, such as delivery notes and time reports, and as needed document and follow up on discrepancies or ambiguities.
  • Support the recruitment coordinator in parts of the recruitment process, for example during group interviews.
  • Train employees in our time reporting system and provide support as needed.
  • Be responsible for purchases and orders, such as office supplies.
  • Handle other administrative tasks as needed.

In the role, you have many contact points, both internally and externally. You collaborate and have close dialogue with the area manager, unit managers, employees, and sometimes with accountants and case handlers. As an Administrator, you also have contact with companies and private individuals who provide personal assistance on their own.

You work closely with your administrator colleague and the recruitment coordinator. Together, you create structure and facilitate the daily work in our area!

Your competence

We are looking for you who are structured and meticulous, with a strong sense of service. You work independently but also enjoy collaborating and building good relationships. You feel confident taking responsibility and driving your work forward, and have the ability to plan and prioritize between different tasks in a way that works well for both you and the operations.

Requirements

  • Upper secondary education in economics/administration or a Vocational Higher Education (YH) qualification that the employer deems equivalent.
  • Work experience from an administrative role.
  • Good computer skills and very good knowledge of the Office package.
  • Very good ability to express yourself in speech and writing in Swedish.

Merits

  • Work experience from an administrative role in an area relevant to the position, for example within care and elderly care or healthcare.
  • Documented experience of invoice processing.
  • Experience of collaboration with authorities.
  • Experience of working with the personal assistance service form.

Good to know

The position is a permanent full-time (100%) position with a start date as agreed. Working hours are during the day with the possibility of flexibility.

We have office spaces at Kasernen in the Asecs area in Jönköping.

Interviews are planned for June 17th and 18th.
