Administrative Services is an internal service unit working across several different areas. As administrators, we provide service and support to the municipal group's operations within administration, mail, telephony, city hall services, conference facilities, and meeting technology. Our working method is always focused on our employees and citizens.
Responsibilities
Your tasks will include handling the municipality's incoming and outgoing mail, internal mail, document scanning, and administration of access cards and permissions. You will handle inquiries received via visits, telephone, and email. You will work with cases in our case management system, Easit, manage orders, and provide support and assistance to users. Furthermore, you will support users of conference and meeting technology and provide assistance during various types of meetings.
Administration, documentation, and follow-up are a major part of the work, carried out in several IT-based operational and management systems. You will also work on developing support and assistance materials in the form of guides and recorded videos.
Qualifications
We are looking for someone with suitable education for the position, preferably with a focus on administration. Previous professional experience in administration is a requirement. Additionally, you must have prior experience working in IT-based operational systems and experience providing support via visits, telephone, and other technical platforms such as chat and Teams.
For this position, you need very strong computer skills and extensive experience working in Office 365, e.g., Teams and Excel. You should have experience working in CRM systems (case management systems).
The following experiences are considered assets:
- Experience working with the Easit case management system
- Experience with user support, support, and training for video conferencing systems and conference equipment
The role requires the ability to search for and handle information and data in parallel while conducting conversations.

A valid driver's license (Class B) is a requirement.
The position is a temporary assignment starting no later than May 1st and ending on February 28, 2027.

At the Consulting and Service Administration, we provide support and services to the administrations within our areas of real estate, operations and services, catering, IT, and administrative support services.
In connection with the interview, we will conduct an identity check and verify citizenship. Accepted documents include a passport, international ID card, driver's license + personal certificate from the Swedish Tax Agency, or other ID document that verifies citizenship. For some positions, a certificate from the police suspicion and criminal record register is required. We welcome language skills in Finnish and/or one of the Sami varieties, as Örnsköldsvik Municipality falls within both Finnish and Sami administrative areas.
Several positions in our municipality are classified in a security class, so a security clearance may be required. These positions require Swedish citizenship.
