Responsibilities

As an examination coordinator, you are part of the cohesive function in our examination flow. You are responsible not only for the administration – you ensure that the entire process works in practice. Together with an engaged team of about 12 colleagues, you ensure that each examination is planned, executed, and followed up with high quality, fairness, and efficiency.

As an examination coordinator, you are responsible for the entire chain around supervised examinations – from planning and coordination to execution and follow-up. This involves operational process responsibility where you ensure that all parts are connected and that the right conditions are in place before each examination session.

You work closely with colleagues, invigilators, and other functions within the organization and need to be able to prioritize, make decisions, and handle unforeseen situations as they arise.

The position is full-time and includes some inconvenient working hours, such as early mornings, evenings, and in some cases weekends when exams can be held on Saturdays.

Examples of examination formats include written in-person exams, digital exams, and control exams.

Responsibilities include, among others:

• Overall planning and coordination of examination sessions
• Invigilator and room booking in the support system TentaAdmin
• Placement of candidates and invigilators and coordination before execution
• Responsibility for on-site execution and handling of deviations or incidents
• Scanning and verification in the system Windream
• Preparation of material for invigilator fees
• Identifying areas for improvement and contributing to the development of processes and routines

Qualifications

Requirements

• Higher education in public administration or administration, alternatively logistics, project management, or operational management
• Very good communication skills in Swedish and English, both spoken and written, as these languages are used in daily work
• Driver's license (B)
• Good knowledge of Excel

Personal qualities

The role requires very good collaboration skills as the work is based on everyone in the team contributing to a well-functioning overall flow.

Meritorious

• Experience in administrative work within educational administration at a college or university, as well as knowledge and experience with systems such as Ladok, TentaAdmin, and/or Windream
• Previous experience in logistical planning and a good habit of working in various systems
