Administrative Manager at Fysikum
Fysikum is one of the large institutions at Stockholm University.
The staff consists of about 230 people, including doctoral students, and the financial turnover is approximately 300 million SEK. Nearly 50% of the budget's revenues come from external research grants. Many researchers have their own contracts, and there are about 200 projects at the institution whose finances are monitored separately. Fysikum is located at the AlbaNova University Center. The operations are characterized by extensive international collaboration with many foreign guests. Fysikum conducts extensive teaching in undergraduate and graduate education. Job Responsibilities
As the administrative manager at Fysikum, you have a broad area of responsibility. The administrative manager reports directly to the head of the department, is part of the institution's management team, and has delegated responsibility to lead and coordinate the institution's central administrative work. You are responsible for developing and supporting the staff in the administrative group that works in areas such as finance, human resources and education administration, communication, IT, diary and archive management. Your group consists of 15 employees.
A central part of your work is to establish budgets, conduct financial follow-ups, forecasts, and year-end reports, as well as to present financial matters to the institution's board.
You also have overall responsibility for the institution's administrative processes and for ensuring that central rules and directives are followed, as well as a special responsibility to support the head of the department in strategic financial planning. You will work closely with the head of the department on operational planning, information, and follow-up issues. Together with the head of the department, you are responsible for the institution's systematic work environment efforts.
Qualifications
We are looking for someone who has:
- A university degree in economics or another relevant education deemed equivalent by the employer.
- Several years of experience as a manager with responsibility for similar tasks.
- Several years of experience in both operational and strategic work with financial matters.
- Very good knowledge of Swedish and English in both spoken and written form.
Meritorious
- Good knowledge of the systems Raindance and Primula.
- Experience from the public sector.
- Particularly meritorious is experience from the higher education sector.
Personal Qualities
As a person, you are unpretentious, clear, and a skilled relationship builder with the ability to create a good working atmosphere through a trust-based and present leadership style. You are confident in your leadership role and have a genuine interest in personnel and work environment issues, as well as a strong commitment to developing teams and collaborations.
Furthermore, you are well-structured and analytical. You have excellent collaboration skills, as your work involves close contacts with all employees at the institution as well as the university's central administration. We expect you to have an interest in higher education and research. Great emphasis will be placed on personal suitability.
About the Employment
The employment is permanent full-time with a six-month probationary period. Stockholm University applies individual salary setting. Start date according to agreement.
