About the role:As a payroll administrator with us, you will work with the team to ensure a correct and efficient payroll process for approximately 5,500 employees. We handle payroll internally and work with both salaried and hourly employees.
You will work with several different collective agreements, including the Retail Agreement, HRF, and Livs, which gives you a broad and educational role.
A central part of the position is to work as first-line support for payroll. You are the first point of contact for managers and employees regarding payroll-related questions, both via phone and our case management system. We work in a structured manner with a focus on high quality, good service, and clear response times, and follow up on cases to ensure professional and uniform feedback.
The role suits you if you are junior in payroll and want to build a solid foundation in the profession by gaining a comprehensive understanding of the payroll process and many points of contact within the organization.
The Payroll Team:The payroll function at Coop Östra currently consists of:
1 team leader
1 payroll specialist
2 payroll administrators
1 system administrator
We work closely together with clear roles and a shared responsibility for quality, service, and development of the payroll process.
Your responsibilities include:In the role of payroll administrator, you will work with:
Acting as first-line support for payroll via phone and case management system
Receiving, registering, prioritizing, and following up payroll-related cases
Reporting to authorities
Statistics
Reviewing expense reports and reimbursements
Ensuring correct, clear, and professional feedback to managers and employees
Resolving cases independently or escalating to payroll specialist for more complex issues
Working according to common working methods with a focus on quality, structure, and response times
Administering, controlling, and quality assuring payroll data
Ensuring correct payroll payments according to applicable laws and collective agreements
Handling employment changes such as new hires, terminations, and changes in employment levels
Registering and updating information in our systems

You report to the Payroll Team Leader.
Who are you?We are looking for someone who is junior in their payroll role. Perhaps you have worked for a year in payroll administration, or you have recently graduated in payroll and want to further develop in the field.
We would like you to:
Have some experience in payroll work or relevant education
Have an interest in payroll processes, collective agreements, and regulations
Thrive in a service-oriented role with many points of contact
Be meticulous, structured, and responsible
Have good system skills and be quick to learn new systems
Understand the importance of quality and response times in a first-line function
You don’t need to know everything from the start – with us, you will receive support, introduction, and the opportunity to develop together with the team leader, payroll specialist, and experienced colleagues.
Experience with HR+8 and/or SoftOne is a plus but not a requirement.
