Do you want to combine responsibility for the office and reception with a coordinating role in HR at an international company? On behalf of our client, we are now looking for an Office Manager & HR Administrator who wants to take overall responsibility for creating a well-functioning, welcoming, and professional workplace in central Stockholm.

This is a broad and varied role for those who enjoy being the hub of a multicultural organization where you combine structure, service, and administration with a genuine commitment to people and a positive office culture.

Working hours are scheduled from 08:00 to 16:30 Monday to Thursday, with some flexibility.

About the role The majority of the role is based on Office Manager tasks. Through this, you will be responsible for the daily operations of the office and reception. You are the first point of contact for visitors and colleagues, ensuring that the office is organized and pleasant while driving improvements in routines and administrative practices. The role involves many points of contact, both internally and externally, where you coordinate suppliers, communicate with the landlord, and ensure that the office runs smoothly on a daily basis.

The HR administrator tasks extend beyond the office walls and are based on close collaboration with the HR team. Here, you will support processes related to documentation, contracts, and personnel administration for several different countries' offices within the company. In the long term, the right person can grow into greater responsibilities within HR-related tasks.

Your responsibilities include:

  • Responsibility for the daily function, structure, and comfort of the office

  • Staffing the reception and welcoming visitors

  • Supplier contacts, contracts, and coordination regarding office operations

  • Daily rounds of the office, meeting rooms, and common areas to practically ensure order and comfort

  • Handling the general inbox as well as incoming and outgoing deliveries

  • Administrative support to HR

  • Participation in workplace environment work and practical implementation of relevant routines

  • Planning and coordinating internal activities such as breakfasts and social events

We are looking for someone who has experience from a broad administrative role, such as Office Manager, coordinator, or similar. You are structured and self-driven, with the ability to handle multiple parallel tasks without losing accuracy or quality.

You thrive in a dynamic environment where days vary, and where you can combine planned tasks with ad hoc matters. As a person, you are service-oriented, communicative, and unpretentious. You take initiative, identify areas for improvement, and drive your tasks forward.

If you also have previous experience in administrative HR tasks or studies in the field, it is highly meritorious.

Who you are and what we hope you have:

  • Experience from similar roles

  • Experience in HR administration within professional life or studies

  • Good system skills and ease in learning new tools

  • Very good knowledge of Swedish and English, both spoken and written, for professional use.

  • Good knowledge of Microsoft Office and Outlook
