Personnel Administrator at the Swedish Armed Forces International Centre

We are now looking for a personnel administrator for a temporary position at the Swedish Armed Forces International Centre, Swedint–NCGM. The position is located at the support department, which provides administrative and operational support to both Swedint and the Nordic Centre for Gender in Military Operations (NCGM). In this role, you will be a central function in the daily support to the operations, managers, and employees. About the Unit

Swedint, together with the Nordic Centre for Gender in Military Operations (NCGM), is the Swedish Armed Forces' competence centre for integrated multinational staff training, preparatory mission training, and gender perspectives at tactical and operational levels. The units work closely together and are jointly supported by the support department.

Swedint and NCGM plan, implement, evaluate, and develop individual staff training and mission training within the framework of NATO, EU, and UN. Approximately 40 courses are conducted annually at the units, the majority of which are in English. Swedint has been an accredited NATO Partner Training & Education Centre since 1999.

Main Responsibilities

As a personnel administrator with us, you will have a central role in the unit's personnel work. Together with our personnel generalist, you will handle and administer personnel-related matters and serve as close support to managers within Swedint and NCGM. The role involves many points of contact and varied work in an organization characterized by structure, responsibility, and societal importance.

  • Prepare employment and placement decisions and support managers in personnel administrative processes.
  • Administer and follow up on ongoing personnel matters in close collaboration with colleagues.
  • Participate in collaboration meetings and be responsible for minutes and protocols.
  • Manage and maintain personnel records in the HR system VIDAR as well as in physical form.
  • Work with extraction, compilation, and analysis of data from the HR data system.
  • Produce personnel statistics, reports, routines, and decision-making documents.
  • Function as management support in recruitment, salary reviews, employment decisions, and war placement.
  • Have functional responsibility for work environment and operational safety at the unit.

Qualifications

  • Experience in administrative work, preferably with personnel-related matters.
  • Good ability to express yourself verbally and in writing in Swedish and English.
  • Good knowledge of MS Office, especially Word and Excel.
  • Ability to work independently, structured, and with high accuracy.

Personal Characteristics

We are looking for someone who is structured, meticulous, and responsible. You have the ability to work independently while enjoying close collaboration with others. You are service-oriented and confident in a supportive role with many points of contact. The role requires flexibility and good judgment, as the work is conducted in a regulated and security-conscious organization with periods of high tempo. Great emphasis will be placed on personal suitability.

Meritorious

  • Previous experience from the Swedish Armed Forces.
  • Education in HR or other education deemed relevant by the employer.
  • Experience in working with work environment issues and/or operational safety.
  • Experience with the Armed Forces' systems PRIO, VIDAR, and the recruitment tool ReachMee.
  • Driving license B.

The Life Guards is one of the largest units in the Swedish Armed Forces, with roots dating back to 1521. We train tomorrow's soldiers, as well as military police and personnel who will carry out international missions. We guard the royal palaces and have security and ground combat units.
