Administrator/Manager Support for the Southern Regional Office

The Swedish Prison and Probation Service is growing – we are building new facilities, renovating, and expanding, and we are now looking for more employees. We are the authority responsible for prisons, probation, remand, and client transport.

We are now seeking an administrator/manager support for the Southern Regional Office for a permanent position.

JOB DESCRIPTION

As an administrator/manager support at the regional office, you will provide qualified administrative and operational support to the regional manager and regional management as well as other regionally placed staff. In this role, you contribute to creating structure, efficiency, and continuity in daily operations by coordinating administrative processes, ensuring good communication, and providing professional support in various parts of the organization.

The tasks are varied and include, among other things:

• Administrative and operational support to the regional manager and regional management
• Coordination of administrative processes and support in planning, follow-up, and preparation of cases
• Meeting bookings, preparation of invitations and agendas, and minute-taking at regional meetings
• Record-keeping in the Platina system and registration in other administrative support systems, archiving, case monitoring, and mail handling
• Orders, purchases, and invoice management.
• Registrar function with advice, support, and some training to the local level in record-keeping and case management issues

The administrator function should be staffed during office hours on weekdays. The role also includes office support to the regional management, including being a contact person towards the head office on various issues and receiving visitors. Furthermore, daily monitoring of phone, email, and other communication channels, as well as supervision of premises, equipment, and some technical support, is included.

The tasks may vary over time depending on the needs of the organization and assignments from the regional manager. You will share responsibility with two other administrators at the regional office.

QUALIFICATIONS

The role of administrator/manager support is a central service and support function, which requires you to be service-oriented, solution-focused, and have a good ability to prioritize. You work independently and in a structured manner, have good administrative skills, and enjoy a role with many points of contact.

You find it easy to collaborate, are trustworthy, and have good integrity. The tasks require accuracy and order, especially in record-keeping and case management, as well as flexibility and the ability to handle varied tasks in a sometimes fast-paced environment.

Requirements:

• Complete upper secondary education (final grades or upper secondary diploma)
• Experience in qualified administrative work, preferably in a managerial support function
• Good ability to express yourself verbally and in writing in Swedish
• Good knowledge of the Office suite

Desirable:

• Upper secondary or post-secondary education in administration, personnel and labor relations, economics, or equivalent
• Experience in managerial support or similar role
• Experience in public sector work
• Well-rated and several years of experience in similar positions
• Knowledge in record-keeping and archive management
• Experience in public sector work, preferably in government agencies
