Workplace Description

You will belong to the Office of Experimental Medical Science (EMV) located at the Faculty of Medicine in Lund.

The EMV office offers a creative and stimulating work environment where collaboration characterizes daily life. A work environment where individual initiatives are appreciated and further education within the university's staff development program is encouraged. Within the office, we value a good working environment with respect and consideration in our relationships with one another.

We are looking for someone who is an engaged and active team player and enjoys working proactively. You will join a well-functioning group of 14 people consisting of economists, HR partners, an institutional administrator, and an IT technician. The office is led by Sofie Magnusson, who works as the administrative manager. You are expected to work independently but in close collaboration with other colleagues at both the institutional and faculty levels. You will participate in the institution's economics and HR groups that have joint meetings, and you will contribute to the development of routines, processes, and working methods while ensuring compliance with regulations.

You will work in a dynamic international education and research environment, close to researchers and doctoral students, and actively contribute to the success of the institution's operations. Daily contacts with managers, researchers, and other employees inside and outside the institution will occur in both Swedish and English. The position is located at the Department of Experimental Medical Science at the Faculty of Medicine in Lund.

Examples of Tasks and Responsibilities:

Financial Administration

Ongoing financial work such as:

  • Invoicing and invoice management (customer and supplier invoices).
  • Accounting and reconciliation.
  • Purchasing and procurement.
  • Register management and filing in Lund University's financial and payroll systems.
  • Support and collaboration with managers, researchers, and other employees in financial administrative matters.

HR Administration

Ongoing personnel administrative tasks such as:

  • Handling doctoral-related matters.
  • Grant management.
  • Administration and follow-up of, for example, vacations, absences, and leaves as well as termination of employment.
  • Support and advice to managers and other employees at the institution.
  • Contact with other authorities such as the State Service Center, the Security Foundation, and the Tax Agency.

As the needs of the operations change, the content of the position may develop and change over time.

Qualifications

Requirements for the position are:

  • Practical experience in financial and/or HR administration.
  • High service orientation and a flexible working style.
  • Good communication and collaboration skills.
  • Ability to work independently, structured, and accurately.
  • Very good ability to express yourself in Swedish and English, both orally and in writing.

Meritorious for the position are:

  • Previous work experience in financial and/or HR administration within Lund University or another government agency or public sector.
  • Experience working in university-wide support systems such as Raindance, Primula, Proceedo, Kuben, and W3D3.
  • Good computer skills and proficiency in Word and Excel.

To succeed in the role, you should easily understand and familiarize yourself with different systems, as well as have knowledge and the ability to apply relevant laws and regulations. You are responsible, quality-conscious, and can create trusting contacts. You work equally well independently as in a team and feel responsible for the overall result. You will work across professions and have many contacts with the institution's management and staff, which requires high integrity, service orientation, good interaction, and responsiveness. Other

The employment is permanent with a scope of 100 percent, starting on April 1, 2026, or by agreement. A probationary period may be applied.
