About the Position
We are now looking for a Receptionist and Conference Coordinator for our client in Malmö who wants to take a central and visible role. The position is full-time with an immediate start and initially lasts for 6 months. The role is 100% on-site and suits you who thrive in a professional environment where quality, service, and collaboration are in focus.
As a Receptionist and Conference Coordinator, you are the face of the organization and set the tone for the experience for both external visitors and colleagues. You will be an integral part of the office hub and work in a fast-paced environment with clear demands and a warm atmosphere.
The working hours are primarily 08:00–17:00, Monday to Friday. During events, working hours may be adjusted, which requires flexibility.
Your Main Responsibilities
In this role, you will work broadly with both social and administrative service. Your tasks include, among others:
- Welcoming visitors and employees and staffing the reception
- Planning, organizing, and coordinating internal events including lectures and student and client events
- Ensuring that conference and meeting rooms are representative
- Placing orders, sending invitations, and supporting meetings and events
- Relieving the organization of various administrative tasks
- Managing the switchboard
- Handling mail, deliveries, and service requests
- Continuously working on improvements and taking initiatives that contribute to enhancing quality, service, and overall experience
You will be part of a close-knit team of two, with shared responsibility and a close, unpretentious collaboration in daily work.
Who Are You?
You have at least a high school education and preferably a few years of experience in administration and a service-oriented profession. You are structured, meticulous, and have a strong focus on quality – while also being flexible and solution-oriented when the pace picks up.
As a person, you are social, communicative, and thrive in a role where you are visible and where your contributions are noticed. You are motivated to deliver high-level service, take responsibility, and easily prioritize in a day filled with many parallel tasks. You are characterized by clear self-leadership and a strong drive, where you proactively see needs, take initiatives, and make things happen. You are comfortable in IT environments, proficient in the Office suite, and communicate fluently in Swedish and English, both spoken and written.
The role requires full on-site presence from 08:00 to 17:00, making it particularly suitable for you who want to be where the action is and appreciate a professional work environment with high ambitions, strong team spirit, and a warm welcome.
