Dean Secretary/Office Secretary
With Present – Praying – Reconciliation as guiding principles, the Church of Sweden in Lund is taking new steps to face future challenges. The Church of Sweden in Lund is a parish with 7 congregations, 1 cathedral, 15 churches including a cooperative church with EFS, 3 chapels, and 2 preschools, funeral services, and an office.
Additionally, we have a Hospital Chaplaincy, Family Counseling, and a Diaconal Center. There are over 200 employees and a number of volunteers, of which over 130 are elected representatives. The Church Council has overall responsibility, and all activities are led by the Dean. Each congregation has a parish council and a parish priest. We are a church with worship at the center, present in all stages of life; at baptism, confirmation, marriage, and funerals.
Job Responsibilities
The role of Dean Secretary/Office Secretary involves close and trusting collaboration with the Dean. You are responsible for ensuring a well-planned, structured, and sustainable everyday life for the Dean. This includes ensuring that relevant materials and documents are available, as well as planning and coordinating meetings. The assignment also includes coordinating calendar and travel bookings and providing administrative support in the Dean's internal and external communication.
You also provide administrative support to the office lawyer by distributing documents, issuing decisions and invitations, and practically preparing meetings. A significant part of the work consists of being the office's registrar, which involves handling mail, record-keeping, and archiving.
In addition, you contribute to the office's shared administrative work and collaborate with colleagues to ensure a well-functioning office.
As Dean Secretary/Office Secretary, you will be based at our office in Domkyrkoforum in central Lund, where about 12 employees work with varying tasks.
Qualifications
We value:
- several years of experience in qualified administrative work close to management in a coordinating role, e.g., as an executive secretary or similar.
- education as a registrar or equivalent and experience working independently with record-keeping and registration
- high digital maturity; very good knowledge of the Office suite is a requirement
- a significant part of the work requires both good experience working in administrative systems/programs and a curiosity to keep up with developments as we update our digital tools and workflows. Very good ability to express yourself verbally and in writing in Swedish and good knowledge of English
- membership in the Church of Sweden and familiarity with the church's organization and values.
